This role is ideal for someone who is an Administrative professional looking to progress to the next level in their career. You will be involved in supporting the Executive and their team by providing not only calendaring and travel coordination, but helping out with leadership team meetings, coordinating of project capacity, collecting metrics, being thoughtful and ensuring the success of your Executive and the whole team. Someone who is looking to take this to the next level.

Our ideal candidate is strong in PowerPoint, Outlook, Word, Excel, understands time management, and has excellent communication skills both verbal and written. An understanding of risk management, experience with budgeting, expense reporting, procurement and vendor management are all strong assets.

  • Manages team calendar and special events; including executive travel and ad-hoc program events
  • Supports the management & leads execution of the program / project, including developing program components, promoting the program and ensuring the execution of all program components.
  • Leads the execution of program components for the executive working with internal & external stakeholders to ensure effective & seamless delivery.
  • Collaborates with internal and external stakeholders in order to deliver on business objectives.
  • Broader work or accountabilities may be assigned, as needed.

Skills

Operational Management

  • Manages team calendar and special events; including executive travel and ad-hoc program events
  • Supports planning and implementation of operational programs for Corporate Communications
  • Leads coordination and execution of processes within Corporate Communications to ensure compliance.
  • Coordinates applicable AV equipment, multi-media to execute program delivery.
  • As required, tracks exception requests and corresponding approvals.
  • Supports team onboarding / offboarding and maintaining team lists
  • Administers a filing system to ensure the availability of business and operational reports, forms and other documentation.
  • Manages Corporate Communications Supplier Relationships, including vendor life-cycle management, billing and POs
  • Effectively works independently on a range of complex operational tasks, as required.
  • Program Management

  • Helps determine business priorities and best sequence for execution of business / group strategy.
  • Integrates information from multiple sources to enable more efficient processes, enhanced analysis and / or streamlined reporting, and organizes information to ensure accuracy and completeness.
  • Provides support for the investigation, analysis & documentation of program risks.
  • Analyzes data and information to provide program insights and recommendations.
  • Gathers and formats data into regular and ad-hoc reports, and dashboards.
  • Monitors and tracks performance and addresses any issues.
  • Relationship Management

  • Builds effective relationships with internal / external stakeholders.
  • Ensures alignment between stakeholders
  • Change Management

  • Advise the design of communication plan(s) to positively influence or change behaviour; develops tailored messaging; and identifies appropriate distribution channels.
  • Builds change management plans of varying scope and type; leads or participates in a variety of change management activities including readiness assessments, planning, stakeholder management, execution, evaluation, and sustainment.
  • Communicates and reinforces program principles, strategies, processes, and standards in all operational activities.
  • Supports change management of varying scope and type; tasks typically focused on execution and sustainment activities.
  • Recommends changes in procedures, as required.
  • Qualifications

  • Typically, between 4 - 6 years of relevant experience and post-secondary degree in related field of study or an equivalent combination of education and experience.
  • Technical proficiency gained through education and / or business experience, specifically in a corporate setting.
  • Highly collaborative and a relationship-oriented person who enjoys working with others.
  • Ability to work in a fast-paced environment and multitask to stay organized.
  • Tech savvy; Advanced proficiency in Excel, Word, PowerPoint, photoshop and adobe creative suite and Collaboration tools (e.g. MS Teams, WebEx, SharePoint) - In-depth.

    54,500.00 - $101,500.00

    Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group's expected target for the first year in this position.
