Job Overview :

Volatus Aerospace is seeking a proactive and detail-oriented, HR Coordinator to assist and support the Head of Global HR in a dynamic, fast-paced multinational environment. This role is based in Vaughan, Ontario and operates in a hybrid model (4 days in-office, 1 day remote).

This role involves supporting HR operations across Canada, the US, and the UK, including HR administration, recruitment, employee timesheet management, and process automation.

The HR Assistant will help maintain and organize HR records, support recruitment and payroll, assist with employment letters and HR documents, and contribute to digitizing forms and processes to improve efficiency and compliance. The ideal candidate is highly organized, professional, and proficient in Microsoft Word, Excel, and PowerPoint, with keen attention to detail and a collaborative mindset.

Key Responsibilities :

HR Administration

  • Assist with enrolling new employees in HRIS (BambooHR) and benefits programs.
  • Support the maintenance, organization, and auditing of employee records and files in BambooHR.
  • Assist with conducting internal HR audits to ensure adherence to company policies and compliance.
  • Support the collection, uploading, and tracking of all required employee documentation in a paperless environment.
  • Assist in preparing employment letters, HR documents, and onboarding materials.
  • Support the digitization of HR forms and other internal forms to automate HR and operational processes.
  • Assist in coordinating training courses, meetings, and other HR-related logistics.
  • Support the HR inbox and respond to employee inquiries professionally and confidentially.
  • Assist in employee engagement programs, providing administrative and logistical support.
  • Assist with ad-hoc HR projects, reports, and data entry as needed.

Recruitment Support

  • Assist with posting job advertisements and managing postings on various platforms.
  • Support screening resumes to identify qualified candidates.
  • Assist in conducting pre-screening or preliminary interviews.
  • Support preparation of candidate summaries for the Head of Global HR and hiring managers.
  • Assist in scheduling interviews and supporting hiring managers throughout the recruitment process.
  • Support maintaining applicant statuses and notes in BambooHR.
  • Payroll Support

  • Assist with collecting and organizing employee timesheets for payroll processing.
  • Compliance & Reporting

  • Assist with preparing HR metrics, dashboards, and routine HR reports.
  • Support documentation for audits, regulatory requirements, and internal controls.
  • Assist in maintaining compliance with employment standards in Canada, the US, and the UK.
  • Requirements

  • Diploma or degree in Human Resources, Business Administration, or related field.
  • 23 years of experience assisting or supporting HR administration or recruitment.
  • Bilingual proficiency in French and English (spoken and written) is an asset.
  • Strong proficiency in Microsoft Word, Excel, and PowerPoint is a must.
  • Experience with any HRIS is a must.
  • Strong attention to detail, accuracy, and time-management skills.
  • Ability to maintain strict confidentiality.
  • Experience with digitizing forms or automating internal processes is an asset.

  • Hours of Work, Work Environment and Potential Travel

  • Standard workweek of 40 hours from Monday to Friday
  • This is a hybrid role, offering four in-office days and one remote day per week.
  • Occasional flexibility may be required to support time-sensitive HR activities or company events.
