The Opportunity
The Ministry of Parks, Culture, and Sport is seeking a highly motivated and detail-oriented Executive Administrative Assistant to join our Visitor Experiences branch in Regina, SK. Reporting directly to the Executive Director, and as a member of the branch management team, you will be responsible for managing all branch administrative functions.
As the Executive Administrative Assistant, you will provide senior-level administrative leadership and office management support to the management team by:
- Managing the management team’s calendar through collaboration, prioritization, and scheduling to ensure all commitments are met efficiently;
- Participating in and coordinating management meetings, including drafting and distributing agendas, recording minutes, and tracking action items to ensure timelines are met;
- Assembling briefing and background materials in preparation for meetings, ensuring all relevant information is readily available to the management team;
- Managing incoming and outgoing correspondence, ensuring proper distribution and response to referrals, public inquiries, and internal communications;
- Drafting, proofreading, and editing a variety of correspondence, including letters, memorandums, and briefing notes;
- Maintaining both electronic and manual filing systems, including bring forward and ARMS/ORS, ensuring accurate records management and compliance with Government regulations;
- Verifying, coding, processing, and tracking invoices, ensuring adherence to budget and policy guidelines, including expense claims, service agreements, and payment reconciliation;
- Assisting with human resources activities, including supporting the hiring process, onboarding, and offboarding employees;
- Planning, scheduling, and coordinating travel logistics for meetings, training sessions, and other events;
- Monitoring and streamlining administrative processes to optimize efficiency across the branch, identifying opportunities for improvement;
- Coordinating fleet vehicle usage, tracking, and maintenance in compliance with government policies; and
- Managing office equipment and troubleshooting minor issues with photocopiers, printers, and computers, and ensuring proper fiscal management of branch assets.
The ideal candidate will be an experienced administrative professional who is:
- Able to work independently, prioritize effectively, proactively identify and resolve issues, and handle multiple tasks efficiently, even with frequent interruptions and tight timelines.Proficient in financial management, including processing payments, reconciling accounts, forecasting, and overseeing service agreements and contracts;
- An exceptional communicator both verbally and in writing, with the ability to draft, proofread, and format correspondence with accuracy and attention to detail;
- Highly skilled in maintaining a high degree of professionalism and confidentiality when handling sensitive information, whether in correspondence or client interactions;
- Approachable, adaptable, and works well in a collaborative environment, maintaining a positive attitude and fostering strong working relationships; and
- Detail-oriented and thorough to ensure high-quality results.
Typically, the knowledge and experience required to achieve the above are obtained through:
- A combination of formal education in business or office administration, combined with work experience in a similar role; and
- Experience using various computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and spreadsheets for financial tracking and reporting.
