Service Dispatcher

As a Service Dispatch Specialist, you'll report to the Dispatch Operations Manager, and play a critical role in keeping our operations running smoothly and ensuring that every customer interaction reflects our commitment to excellence.

What You Will Do :
Overall Responsibilities & Duties :
As the Service Dispatcher, you’ll manage end-to-end process, from order entry to equipment ordering, scheduling, installations, and final paperwork completion. You’ll act as the vital link ensuring everything runs smoothly and according to our operational procedures. A major part of this role is identifying and addressing any issues that arise, ensuring timely resolutions, all while keeping all work orders on track.
As a Dispatch Specialist, you will :
Confirm technicians have received their daily schedules.
Ensure all jobs are updated and closed in the system within a timely manner.
Review the current day’s schedule, noting any special requests or instructions.
Manage email, service calls, and schedule changes.
Verify technicians are enroute to their first appointments and update the system with their anticipated time of arrival
Oversee effective jeopardy management, including tracking standby lists, arrival times, and job completions.
Address and resolve service dispatch-related calls and emails, escalating issues when necessary.
Assign same-day installation and service requests and installations efficiently.
Collaborate with technicians, experts, and customers to ensure smooth operations.
Handle escalations, callback requests, and service updates.
Audit account notes, ensure all schedules and equipment orders are accurate for the next day.
Service Responsibilities :
Equip service technicians with full-service history and relevant details
Monitor warranty parts and apply refunds when necessary
Upload documents, manage damage claims, and follow up on post-inspections
Ensure parts availability and order parts from suppliers
Track inspections and ensure processes are followed on time
Complete dispatch / service-related calls
Installations Responsibilities :
Coordinate installations 72 hours ahead, ensuring technician availability and equipment availability
Equipment selection verification
Monitor special requests and provide the accurate information to installers
Utilize technician’s skillset while pairing the accurate equipment to installer skillset.
Ensure all installations are planned thoroughly and communicate for smooth installations
