Rental Coordinator

The Rental Coordinator will report to the Idealease Manager in the Rental Department and will manage existing account relationships and generate new rental account sales. They will also manage operations and sales by coordinating and dispatching our rental reservations, overseeing our customer invoicing, and learning hands‑on asset management.

Responsibilities

Operations Related Duties

• Coordinate rental reservations and understand customer vehicle requirements.
• Invoicing and general administration duties.
• Become proficient with Idealease business systems (Idealease Portal, Rental Contract & Billing System, Geotab, SAP, etc.).
• Administer the opening / closing of rental agreements.
• Check out / in rental equipment, damage documentation with pictures, verify vehicle fluid levels, cleanliness, equipment functionality, etc.
• Validate customer driver credentials and insurance requirements are met.
• Complete daily yard checks and reconcile availability fleet lists.
• Follow the damage repair process.
• Work with the service team to assist with the coordination of preventative maintenance & repair scheduling.
