dcbel at the leading edge of the residential energy revolution, enabling decentralized energy consumption and production through its vertically integrated suite of energy hardware and software products, and their supporting infrastructure. Our flagship product, the dcbel Home Energy Station, is a small wall mounted device that gives everyone ownership over their energy supply by using solar power to charge their EV and home, unlocking their EVs battery for backup power (V2H), and optimizing the energy flow between their solar panels, EVs, backup battery and the grid.
The Opportunity
As we continue to grow, we are looking for an Office Coordinator to join our team based in Montreal, from dcbel's head office. Reporting to the Chief of Staff, the Office Coordinator will play a crucial role in ensuring the smooth running of our office operations.

Main Responsibilities
- Coordinate day-to-day administrative flow of office operations
- Manage office supplies, services, and relocations as needed
- Assist in the logistics of various internal and external engagement initiatives
- Negotiate and manage relations with hotels and travel agencies
- Coordinate shipments by comparing quotes, creating commercial invoices, and following up on deliveries and creating fulfillment orders
- Manage requests from import / export brokers
- Maintain office records, documentation, and databases up to date including company CMS (Contracts Management System)
- Manage documentation and mail, as well as the signature process from signature to filing
- Prepare communication documents for internal or external stakeholders
- Be the first point of contact for all staff facilities and external contractors (custodians, cleaning services, electricians, plumbers, etc.)
- Assist employees with their booking arrangements (e.g. Airbnd, flights, hotels)
- Assist in the execution of Compliance projects as needed

Qualifications
Minimum 5 years of relevant administrative support experience or equivalentAdequate knowledge of office management systems and proceduresTech-savvy and proficiency in Microsoft 365 (Word, Excel, PowerPoint), Outlook, Adobe AcrobatProficient communication skills in English, both written and verbalProfile
