Job Summary
The Executive Assistant (EA) to the President provides high-level, visible, and integral support to the President’s Office with a particular focus on administrative coordination, programming and events, and stakeholder relations and operational effectiveness. This role ensures that the President is well-prepared, well-represented, and effective in internal and external engagements. The EA acts as a trusted partner in handling sensitive information, facilitating stakeholder interactions, planning and executing events, engaging the community, supporting governance functions, and enabling smooth operational flow in the President’s Office.
As the first point of contact for visitors to the Office of the President, the EA maintains a visible and professional presence on behalf of the President and the institution with exceptional professionalism, emotional intelligence, and judgment. The role requires an advanced level of executive support, the ability to plan ahead, assess implications, thrive in a fast-paced executive office, and assist in resolving complex or sensitive matters, while representing the President’s Office and institution with credibility, confidence, and service excellence in both internal and external settings.
Qualifications
- Bachelor’s degree in business, business administration or administration, or a related field from a recognized, postsecondary institution.
- Minimum five (5) years’ related experience providing senior administrative support preferably in a post-secondary institution or environment.
- Demonstrated senior level proficiency in all Microsoft 365 Applications including Outlook, Word, Excel, Teams, SharePoint, Forms, OneNote, PowerPoint, OneDrive, and Copilot.
- Demonstrated experience leveraging digital tools to enhance administrative efficiency, information management, and executive support.
- Demonstrated ability to organize, plan, and monitor multiple complex priorities simultaneously, anticipating needs, tracking commitments, and ensuring timely follow-through in a fast-paced executive office environment.
- Demonstrated ability to be flexible and adaptable and deal with a variety of tasks simultaneously, generally under inflexible time constraints.
- Proven ability to act with integrity, exercising tact and diplomacy in interactions with internal and external stakeholders.
- Demonstrated experience conducting relevant research, synthesizing information, preparing clear and concise summaries and reports, and developing recommendations to support executive decision-making.
- Demonstrated initiative and consistently sound judgment in anticipating needs, assessing risks and implications, independently resolving complex or sensitive matters within delegated authority, and consulting or escalating appropriately in a senior executive environment.
- Demonstrated leadership skills and abilities, including the capacity to influence, coordinate, and guide others through initiative, credibility, and sound judgment, while representing the Office of the President in complex and sensitive environments
- Proven commitment to quality and integrity.
- Demonstrated ability to manage and cope effectively and professionally in a fast-paced, high-pressure executive environment, maintaining composure, sound judgment, and service excellence while responding to competing and time sensitive demands.
- Demonstrated superior interpersonal, written, and oral communication skills, that include experience in dealing with the public, and a professional demeanor.
- Ability to manage and process confidential and sensitive materials in a professional manner.
- Ability to assess options and implications, in order to identify solutions.
- Must have a proactive nature and a demonstrated ability to work independently in meeting office objectives under the general direction of the President.
- Experience working in a confidential office environment with the demonstrated ability of using sound judgment, tact, discretion, and professional integrity.
