Your Role

As the Executive Mortgage Assistant, you’ll report to the management team and play a pivotal role in ensuring the office operates seamlessly. You’ll wear many hats, interacting with all departments to support a variety of tasks and initiatives. In addition to administrative responsibilities, you’ll assist with business development opportunities, including coordinating trade shows and client outreach efforts. Your ability to prioritize, multitask, and build relationships will ensure the company continues to deliver exceptional service.

Key Responsibilities

  • Be the welcoming first point of contact for clients and team members while managing reception tasks, calls, and emails;
  • Oversee office operations, including managing bank deposits, ordering supplies, and coordinating schedules;
  • Maintain accurate and up-to-date mortgage digital records using internal systems;
  • Ensure timely processing of client documentation and support compliance tracking;
  • Prepare and manage regular reporting for shareholders and other stakeholders;
  • Collaborate with team members across all departments to support their ongoing needs and projects;
  • Assist with business development initiatives, such as coordinating trade shows, preparing promotional materials, and managing client outreach;
  • Support light bookkeeping activities, including accounts payable and receivable;
  • Proactively identify and address administrative needs to enhance efficiency.

Requirements

  • Customer service experience, with a talent for building strong relationships;
  • A degree, diploma, or certificate in a related field is considered an asset;
  • Administrative expertise, ideally in the mortgage, real estate and / or financial services industries;
  • Proficiency with MS Office (Word, Excel, Outlook) and tools like DocuSign;
  • Excellent verbal and written communication skills;
  • Strong organizational, planning, and time-management abilities;
  • Discretion and a knack for prioritizing multiple tasks under tight deadlines;
  • Experience with multi-line phone systems and high call volumes;
  • Light bookkeeping experience (AP / AR) is an asset.
