We are looking for a motivated and experienced Office Administrator to join us at our Nisku office.
Position Summary :
Reporting to the EVP Operations, we are looking for an Office Administrator to join the team in our Nisku office.
Responsibilities :
The Office Administrator is a key member of the Equipment Division. The role responsibilities include but are not limited to :
- Utilize and maintain the organization’s ERP system to input, update, and manage administrative, financial, and operational data, ensuring accuracy, data integrity, and compliance with established processes.
- Maintain the document control system and filing to ensure accuracy, confidentiality, and compliance
- Coordinate incoming and outgoing calls and mail.
- Serve as the primary point of contact for internal and external stakeholders
- Oversee the inventory of office supplies, ordering new supplies as necessary to keep the office running efficiently.
- Provide administrative support to leadership, including scheduling, correspondence, and meeting coordination
- Compile and submit expense reports, ensuring accuracy and timely submission
- Draft, review, and distribute clear, accurate, and timely internal and external communications
- Responsible for operating and maintaining office equipment, such as copiers, fax machines, and computers, ensuring everything is functioning properly.
- Prepare, review, and distribute reports, and internal documentation for Nisku team members.
- Liaise with Procon Travel to coordinate site travel for personnel and visitors.
- Perform other related duties as assigned.
Qualifications / Requirements :
Diploma in Office Administration, or other related fields; orCompletion of high school diploma and equivalent combination of education and experienceMinimum 3 years related administrative experience.Experience working in a multi-jurisdictional workplace.Ability to interpret and transpose numerical and aliphatic dataStrong organizational and verbal / written communication skillsProficient with spreadsheets including formulas, pivot tables, and data validation in Excel, power point and Microsoft Office.Ability to problem-solving, resolving discrepancies between timecards and reported hoursAnalytical and problem-solving skills with attention to detailAbility to maintain confidentiality and discretionAbility to work well under pressure and meet deadlinesAbility to multitask and prioritize workloadAbility to work effectively in both office and remote environmentsBilingual (English / French) is considered an assetWhat we offer :
