We currently have an opening for a full-time permanent Front Desk & Administrative Support Personnel.
As the Front Desk & Administrative Support Personnelthe person in this role is the first point of contact for customers, visitors and members of the general public. Therefore, you must maintain a professional image when answering and directing calls and greeting visitors in a prompt and efficient manner. You are also responsible for providing a variety of administrative support duties as directed by the Maintenance Admin Coordinator as well as assisting with meetings and maintaining office supplies.
In this role your duties will include the following :
- Answer incoming calls efficiently and direct callers to appropriate staff member. Redirect calls and / or take messages as necessary. Respond to general inquiries and requests for information whenever possible. Ensure answering service is available after hours and on weekends and holidays;
- Greet and assist or direct visitors, vendors, employees and others as appropriate;
- Escort candidates attending interviews or walk throughs to Human Resources or the appropriate meeting rooms;
- Ensure that visitors with appointments are met by the appropriate individuals within the organization;
- Maintain general company information such as employee extension lists, on-call duty rosters etc.;
- Receive and distribute incoming mail including field mail. Prepare outgoing mail and courier packages;
- Take photos and prepare employee ID badges;
- Perform various clerical tasks such as photocopying, faxing, filing, printing and sorting invoices and distributing internal communications;
- Maintain / monitor office supply stock and ensure that water, coffee and other kitchen supplies are available. Negotiate pricing and order new stock as required;
- Assist with travel arrangements, accommodations and vehicle rentals as needed;
- Assist with meetings, conference calls and other events. Book rooms and conference lines as needed and arrange catering as required;
- Provide administrative support for managers throughout the organization as needed.
- Monitor and maintain office supply levels including printing paper in the mail room;
- Assist with the packaging and distribution of employee SWAG packages and uniforms;
- Scan, file and maintain visitor orientation documentation as required;
- Assist the office coordinator in other required duties.
