Job description

You will be supporting a couple with a portfolio of companies in the real estate and lending space.

Job Description : As the Chief of Personal & Executive Operations , you will provide high-level strategic and operational support, ensuring seamless execution across both business and personal domains. This role blends the responsibilities of a Chief of Staff, Executive Assistant, and Personal Operations Manager , allowing for a highly efficient and well-structured environment

Location : Hybrid - in person and remote, St Thomas / London, ON

Schedule & Availability : Full-time (40 hours / week), flexible 8-4 but skewed to more of a morning rhythm. Monday to Friday (90% of the time), with occasional weekend availability as needed.

Responsibilities :

  • Act as a strategic partner, seamlessly integrating business and personal operations.
  • Maintain an exceptional level of detail and organization, ensuring nothing slips through the cracks.
  • Manage a diverse portfolio of companies and projects within the real estate and lending industries.
  • Oversee and execute strong project management, ensuring efficiency and follow-through.
  • Anticipate needs and proactively problem-solve before issues arise.
  • Maintain a calm, composed approach, even in high-pressure situations.
  • Communicate with absolute clarity, ensuring alignment across all responsibilities.
  • Foster a culture of feedback and continuous improvement.
  • Possess a keen sense of perception, picking up on nuances and unspoken needs.
  • Operate with a protective, forward-thinking mindset—anticipating challenges, minimizing risks, and ensuring everything runs smoothly behind the scenes.
  • Manage investor relations, keeping stakeholders informed and engaged.
  • Oversee file management and organization for seamless access to critical information.
  • Lead and coordinate construction management efforts, ensuring projects stay on track.
  • Handle inbox management, prioritizing and responding with efficiency.
  • Oversee all aspects of planning, from travel and scheduling to key business and personal logistics, ensuring everything runs smoothly.
  • Provide comprehensive personal support, ensuring every detail is managed seamlessly and proactively.
  • Hire, onboard, and manage additional team members as necessary to support operations.
  • Provide dedicated support to the principal, ensuring their business and personal operations run seamlessly, while also offering secondary support to their spouse and business partner as needed.

Qualifications

Must have 5 years in related industry experience (real estate, project management, operations or administration)

Proficient in Microsoft excel and the google workspace

Strong leadership skills

Preferred : proficiency in real estate development and / or mortgages
