Job description

Job Summary :

The Faculty of Business and Computing invites applications for a permanent, full-time position of Assistant, Faculty of Business and Computing to join their team.

The Assistant provides professional and confidential administrative and program support to the Office of the Dean, including support to all Schools / Departments in the portfolio. The Assistant resolves routine issues and problems, makes appropriate referrals, exercises initiative and sound judgement, and ensures that the Dean and / or the Manager is aware of issues that require attention.

The incumbent acts as the initial contact for internal and external clients, performs administration activities, and supports the office in special projects, research, and events.

Qualifications :

  • Completion of a two (2) year diploma in a relevant field from a recognized institution.
  • Minimum two (2) years administrative experience.
  • Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe.
  • Demonstrated professionalism and ability to maintain confidentiality.
  • Highly resourceful, organized, and with a demonstrated ability to self-initiate.
  • Ability to manage multiple deadlines with a high degree of accuracy and attention to detail.
  • Exceptional interpersonal skills, including the ability to work effectively in a team environment.
  • Excellent written / oral communication skills.
  • Experience in compiling reports with various databases (ex : Banner and FAST)
  • Exceptional customer service skills.
  • Experience working with diverse populations.
  • Experience preparing agenda packages, setting up, taking notes, and preparing minutes for large meetings, following up as needed.
  • Experience working in a post-secondary institution preferred.
  • Experience planning events and workshops an asset.
  • Experience interacting directly with faculty, students, and staff preferred.
  • Good working knowledge and experience with web design and content management; experience with MyWeb / T4 an asset.
  • Experience in social media administration and content creation and asset.
  • Demonstrated understanding of course and program approval processes at UFV an asset.
  • Experience working with Banner and FAST is an asset.
