What’s the role?
Under limited supervision, the Senior Client Relations Assistant is responsible to provide administrative and sales support activities within established guidelines to our team of Private Wealth Advisors to help meet our clients’ needs. This role helps to develop, build, maintain, attract, and expand relationships through providing friendly, professional service in an efficient and financially responsible manner. The Senior Client Relations Assistant is a self-motivated individual who has the ability to identify and resolve situations independently or with limited guidance, the ability to multi-task within a high functioning team, and work within deadlines independently with proven effective time management and communication skills.
Your duties will include :
Follow up on security transactions, transfers, periodic plans, and all other transactional paperwork as required.Handle and resolve all aspects of client service related issues whether incoming or outgoing including follow up on transactional issues, booking appointments, taxation and fee related information, and other related tasks as required.Independently complete complex documentation such as estate documentation with Executors / Beneficiaries / Accountants / Lawyers, Stock Certificates, Swaps, Trust & Estate, etc, using the Consultant only when needed.Meet existing and prospective client’s needs by actively listening, promoting, and cross-selling all Wealth Management products as well as Coastal Community’s full product and service offerings.Pursue business development opportunities by identifying, developing, creating, leading, and carrying out sales and marketing campaigns through telemarketing, networking, community and business related endeavors.Prepare professional correspondence and reports including meeting preparation documents and input into financial planning software.Support a paperless office environment by imaging and storing documents as per processing standards.Input, maintain, import / export data, create and execute processes within CRM software. Assist with building strategies and further efficiencies where applicable.Train new employees on systems and departmental processes and act as an ongoing resource to others.Within departmental guidelines, process security related transactions with written authorization from the Private Wealth Advisor / Manager.Organize and conduct team meetings.In the absence of the Manager, Senior Client Relations Assistant could be asked to provide direction and / or approval on department operations.Performs other related duties as required.What are we looking for?
Successful completion of the Canadian Securities Course or the Conduct and Practices Handbook and will be eligible to be CIRO licensed as an Investment Representative within 24 months of their start date.A minimum 3 years investment industry experience and 1 year financial services experience are required.Proficiency with MS Office (Word, Excel, PowerPoint, and Outlook) is required and CRM software.Thrives in an energetic, ambitious, results-oriented sales environment.Proven track record of achieving superior resultsIdeally, you are a flexible, collaborative team player with :
Familiarity with all Credit Union products and servicesA proven track record of identifying and acting upon opportunities to refer business to other Credit Union business lines to build client relationships.Enjoy working with the public, be professional in appearance and be capable of providing on the job guidance to others.In addition, the incumbent will :
Have demonstrated leadership and the ability to work independently to meet deadlines within a fast paced environmentHave excellent interpersonal skillsHave meticulous attention to detail and excellent organization and problem solving skillsExcellent communication skills and the ability to articulate in a clear, concise manner is required to transfer information and understanding to members.The incumbent must effectively listen to and engage members in conversation to understand and identify their immediate financial needs, and provide resolution through sourcing information, matching an appropriate product / service and / or referring members to the appropriate individual to complete their request.The ability to multitask with above average keyboarding and internet / computer navigation skills for searching on-line client data and product information while simultaneously conversing with the member is essential to ensure that members receive excellent member service.Interviewing skills and the ability to ask probing questions are required, as well as having the flexibility to adapt to each request and move between a variety of member concerns / questions / requests.If you’re an approachable problem solver who embraces self-development and life-long learning, you’ll be a great fit with us.

Full Time Role Range (Annual Salary) - $50,417.16 to $61,958.52
The wage ranges provided are based on the Union collective agreement.
