Job Title : Child Care Centre Financial Administrator

Location : Burlington, ON

Hours : Part-time, 15-20 hours / week

Salary : $25,000 per year

The Financial Administrator plays a key role in ensuring the financial health and sustainability of our organization, allowing us to continue offering high-quality services to families in our community.

Position Summary :

Reporting to the Operations Director and working closely with the Accountant, the Financial Administrator oversees all financial activities of the Centre. This includes budget management, fee collection, grant tracking, and compliance with funding regulations. The role is critical in ensuring that resources are managed effectively to support the organization’s mission.

Key Responsibilities :

1. Financial Management and Budgeting

  • Reports to the OD, the Board and the external accountant to maintain the financial viability of the Centre by managing budgets, balancing revenue and expenditures, and ensuring compliance with funding requirements.
  • Collaborate with the Operations Director and the External Accountant to develop, review, and submit the annual budget.
  • Manage fee collection, invoicing, and accounts receivable, ensuring timely payments and adherence to policies for overdue accounts.
  • Obtain and track grants and funding programs, including CWELCC and Halton Region initiatives, ensuring accurate reporting and compliance.

2. Bookkeeping and Recordkeeping

  • Use QuickBooks and other tools to maintain accurate financial records, including accounts payable, fee statements, receipts, and bank deposits.
  • Implement sound bookkeeping and accounting procedures, ensuring adherence to established policies.
  • Monitor financial documentation for funding bodies and submit required reports in a timely manner.
  • 3. Purchasing and Resource Allocation

  • Ensure purchases for services, supplies, and equipment align with budget guidelines.
  • Approve exceptional expenses (over $1,000) in consultation with the Board of Directors.
  • Monitor sector salary scales to maintain competitiveness in staffing.
  • 4. Reporting and Compliance

  • Prepare monthly and annual financial reports, reviewing all financial aspects of the Centre’s operations with the Operations Director.
  • Work with the Accountant to ensure accurate and complete financial records for audits and reviews.
  • Ensure compliance with all funding and regulatory requirements, addressing discrepancies promptly.
  • 5. Grant Management and Funding

  • Identify and secure additional funding opportunities, including grants and other financial initiatives.
  • Ensure timely submission of financial documentation required by funding agencies.
  • Qualifications : Required :

  • Strong financial literacy with proficiency in QuickBooks and Excel.
  • Demonstrated experience in bookkeeping and accounting.
  • Knowledge of CWELCC, Halton Region funding systems, and grant management.
  • Excellent organizational skills and attention to detail.
  • Preferred :

  • Experience in the childcare sector or non-profit financial management.
  • Familiarity with regional and provincial funding regulations.
  • Strong communication skills for collaborating with leadership and external stakeholders.

  • Timely and accurate financial reporting.
