The IT Asset Shipping Specialist will play a key role in managing and executing the secure shipment of technology assets across multiple locations. As part of the Technology Workplace Support Services (WSS) team, this role supports the end-to-end IT asset lifecycle—from procurement through disposal—ensuring accuracy, compliance, and security throughout each step. The specialist will work closely with approved logistics vendors to manage secure shipping processes, coordinate shipments, verify asset details, and maintain audit-ready documentation. Strong organizational, communication, and analytical skills are essential for success in this role.
Responsibilities
- Manage and liaise with shipping vendors to ensure adherence to firm policies and compliance requirements.
- Verify and reconcile serial numbers, inventory lists, and documentation during pickup and delivery.
- Coordinate with site contacts, track shipment progress, monitor GPS updates, and maintain chain of custody.
- Create and maintain operational procedures and driver instructions for secure shipping processes.
- Update and maintain WSS operational processes to align with firm standards and security guidelines.
- Ensure accurate ServiceNow ticket and task management, including timely updates and documentation.
- Produce management reports covering event completion, shipment volume trends, and quality metrics.
- Support asset tracking, data entry, and coordination activities within the broader IT Asset team.
- Assist with process improvement initiatives and drive operational efficiency through dashboards and analytics.
- Provide flexible support during after-hours or weekends for critical or time-sensitive shipping events.
Required Qualifications
- 3–5 years of experience in a technology or IT support environment.
- Proven experience in IT asset tracking, inventory management, or logistics coordination.
- Proficiency with ServiceNow or similar ITSM ticketing systems.
- Strong organizational, time management, and problem-solving abilities.
- Excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Excel and other MS Office applications.
- Experience maintaining SharePoint sites.
Preferred Qualifications
- Experience working within the shipping or logistics industry.
- ITIL certification.
- Experience in the financial services industry.
