Responsibilities

• Coordinate and process flight bookings for personnel traveling to and from the remote site using a dedicated charter service.
• Monitor flight schedules for changes, delays, or cancellations and communicate updates to travelers and stakeholders.
• Assist the Travel Manager with optimizing flight schedules, reporting on bookings, and supporting airline contract negotiations.
• Act as the main contact for trade partners, managing flight requests and ensuring compliance with travel policies.
• Collaborate with camp booking management to align accommodation logistics with flight schedules.
• Maintain a strong relationship with the charter airline, resolving booking issues and communicating passenger needs.
• Provide clear travel instructions to passengers and assist with any disruptions or concerns.
• Keep accurate records of flight bookings and passenger data, and generate reports as needed.
• Manage townhome bookings at the site, including cleaning arrangements and inventory oversight.
• Perform additional tasks as assigned by the Travel Manager to support travel operations.

Qualifications

• High school diploma or equivalent required;
• Minimum 3 years of experience in travel coordination, airline reservations, or related field.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
• Experience working with airline reservation systems and travel booking platforms.
• Ability to work independently and as part of a team.
• Ability to handle multiple tasks simultaneously and prioritize effectively.
• Strong problem‑solving skills and ability to remain calm under pressure.
• Experience working with charter flights or in a remote project environment is a plus.
