Vertex is seeking a driven and passionate Project Coordinator to partner with our Operations team at our Sherwood Park location. This is an exciting opportunity for an experienced individual with experience within the oil & gas industry with a solid background maintaining Alberta OH&S Standards, managing financial project impacts, coordinating responsibilities and collaborating with project teams.
In this role, you will work alongside our Operations team to support Project Manager's throughout project lifecycles. Primarily your focus will be supporting the success of projects through the project initiation, planning and execution phases.
We are seeking a local candidate with a proven track record of coordinating projects within a similar industry - someone who is highly organized, time efficient, enjoys a challenge and thrives multitasking in fast paced environments.
CANDIDATE QUALIFICATIONS
- 2+ years of experience in the oil & gas industry
- 2 Year Diploma in a related field, 4 year University degree in related field preferred
- Advanced knowledge of MS Excel
- Experience maintaining Alberta OH&S standards
- Very strong written and verbal communication skills
- Skills in administrative tasks, organization and time management
- Maintain discretion and professionalism with confidential and compensation information
- Willingness to work on-site and travel to project locations as needed
- Willingness to work evenings and weekends as required
- Ability to operate equipment such as forklift, telehandler, picker truck would be an asset
RESPONSIBILTIES
Project Initiation & Planning
Review and understand contracts & legal terms and conditionsUnderstand and summarize scope of workEngage with internal and external stakeholdersReview client requirements for safety tickets, drug and alcohol testing, fit testing, orientations and other trade certifications. Ensure crew has all required site requirementsIn consultation with safety department schedule training and drug testing for project teamsCoordinate mobilization of crew members, vehicles and equipmentCrew coordination, scheduling, monitoring and information distributionCommunicating logistics with payroll and shop departmentsSupport estimating team in bid tasksProvide scheduling support to project managersAdhere to quotation and procurement best practices as outlined by the procurement department.Review and support the creation of project related :Execution plans and drawings
Health, safety, and environmental plans and standards.Human resources and staffing plansFinancial plans, budgets and daily ticketsSchedule and resource allocation plansQA / QC plansBooking and managing project accommodations and purchase ordersCreate manage and communicate requests for information (RFIs), clarifications and assumptions for the estimating processPrepare and ensure all resources are ready for mobilization to worksiteTracking project costs, budgets and timelinesProject Execution
Create, maintain and review project documentation, Including LEM workbooksCommunicate project related information to other departmentsPrepare daily shift notes for review by project managerMonitor and track third party ticketsEnsure daily sign-in / out matches timesheets for payrollReview load lists and confirm load accuracyTrack on-site equipment inventoriesForecasting and change managementAttend projects meetingsEnsure project documentation is up-to-dateCoordinate personal replacement when appropriate from Project Manager and / or Client requestVERTEX OFFERS
