The Program Assistant (PA) provides administrative support to the Ability Management Team to which they are assigned and reports directly to the Manager, Ability Management. This position assists with the day-to-day operation of the Ability Management team by providing a full range of administrative duties. It also includes significant critical thinking skills in order to identify and investigate complex benefit issues and time corrections between multiple key stakeholder teams. All Non-Union / Exempt positions are being reviewed for possible inclusion in the AUPE General Support Services bargaining unit. Responsibilities include : Completing and submitting Employer statements to insurer for all short-term disability and long-term disability files. Calculating EI max for insurer, if required. Monitoring and calculating sick credit end date to forward to insurer. Submitting all medical leave of absence and return to work requests as received from the Ability Advisor. Reconciling incorrect time coding and employee pay, monitoring and advising Managers and Timekeepers of incorrect timecoding, and problem solving any time coding inquiries. Preparing and sending Change of Benefits letters for unionized / NUEE employees for the Manager, HR and Benefits. Calculating earnings upon urgent request from Advisor, Insurer or Employee. Ordering office supplies. Supporting all file requests. Monitoring questionnaire inbox in MySafetyNet and assigning appropriate Advisor. Reviewing monthly Benefit reports for accuracy. Uploading email, letters and documents into MySafetyNet for Ability Advisors and setting the appropriate task to complete. Reviewing accruals, benefits eligibility and investigating time coding errors and inquiries.
Required Qualifications :
A minimum of a High School Diploma is required. Two years of related experience in Ability Management and / or other health care setting is required.
Additional Required Qualifications :
Knowledge of STD and LTD eligibility and application processes.Considerable knowledge and expertise in benefits administration and payroll calculations.General knowledge & awareness of Ability Management Program & processes.Previous experience in a health care setting is an asset.Competence with using human resources management system software.Competence in the use of Microsoft Office products.Competence in the use of word processing, spreadsheets and database programs. Considerable knowledge of modern office practices, procedures and equipment.Knowledge of data entry and word-processing.Excellent communication / interpersonal / organizational skills.Excellent formatting, grammar and proofreading skills.Ability to complete duties with numerous interruptions.Ability to prioritize and balance workload.Ability to coordinate meetings.Ability to handle incoming phone calls in a courteous and effective manner.Ability to be an effective team member.Ability to be flexible and willing to learn new concepts.Ability to maintain confidentiality.Must have good command of the English language.
Preferred Qualifications :
Post Secondary education in Human Resources or Disability Management from a recognized post-secondary institution is preferred.
