Mailroom and Office Clerk for provincial government agency client, downtown Toronto.

Job Type : Temporary.
Initial Term : ASAP for approximately 3 months, with possibility of extension.
Compensation : From $25 per hour to $30 per hour, according to experience.

Regular Work Hours : Expected shift will be 7.25 hours per day not including 1 hour unpaid lunch break, with some variability according to client business need, during regular business hours of 9 am to 5 pm, Monday to Friday (up to 36.25 work hours per week).
Work Location : 100% onsite at client's downtown core Toronto office, on PATH and near TTC station.
Ergonomic Requirements : In addition to regular desk work, the position will require regular lifting of boxes, equipment or office supplies up to 50 lbs.
extended standing, bending, crouching, overhead reaching, pushing / pulling a cart or trolley, occasional standing on a step stool or small ladder, regular traverse across and between floors and to loading dock and occasionally between buildings, and other ergonomic activities associated with mailroom, facilities or office services tasks.

Responsibilities Summary :
To provide mailroom, printing, clerical, and additional office services support services in a high-volume, fast paced environment.
- Receive, prepare, and process high volume of incoming and outgoing correspondence, mail and courier deliveries from a diverse range of workflow channels.
- Track, code, scan and upload hard copy documents into electronic database.
- Update addresses and other contact information in electronic database.
- Print and assemble high volume of client information packages, including sorting, copying, folding, collating and cerlox binding.
- Coordinate and assemble mass mailings, including formatting and printing documents, formatting and printing labels and envelopes, and working with letter folding, mailing and postage equipment to produce high quality mail-outs.
- Filing, indexing, archiving and other records management tasks as required.
- Providing back-up support to Reception desk as required.
- Receive and re-stock office supplies as required.
- Additional administrative and clerical support services as required.
Qualifications :
Education : Highschool diploma, or equivalent combination of education and work experience.
Preferred Work Experience : At least 3+ years of experience in a print room, mail room, clerk or office services position with similar responsibilities.
Preferred Sector Experience : Public sector experience an asset.
Technical and Language Skills Requirements :
- Intermediate level proficiency with MSOffice Word, Excel, Outlook (will be tested).
- Strong data entry skills and attention to detail (will be tested).
- Proficiency with mailroom and print room equipment such as photocopiers, scanners, mail sorting and postage machines.
- General familiarity with reception desk equipment including switchboard / telephone, computer, etc.
- Proficient English communication skills, both written and verbal, including excellent spelling, grammar, and proofreading, and professional telephone manners.
Task -Based Qualifications and Additional Attributes :
- Demonstrated ability to work in a confidential environment, subject to privacy and records management legislation.
- Familiarity with Canadian Postal procedures, rates and mailroom procedures and operations. Demonstrated ability to work in a fast paced, high volume mailroom environment.
- Sound knowledge of clerical and administrative procedures, including file and records management procedures and best practices.
- Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
- Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
- Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
- Superior attention to detail, and organized, methodical approach to completion of tasks.
- Demonstrated ability to work well both independently and collaboratively, and liaise effectively with a diverse range of internal and external stakeholders.
Additional Requirements :
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work 100% onsite, abiding by organization health and safety policies
- Ability to promptly provide 3 qualified employment references upon request, who are available to speak with either Marberg or Marberg's client.
- Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
- Ability to complete a satisfactory Provincial Government security check, which may include a Fingerprint Check, prior to assignment start.
Please note that Marberg will reimburse for the cost of the security checks upon confirmation of assignment start and submission of approved expense receipts.
- Ability to complete a satisfactory Credit Check upon request.
- Provision of certification of AODA and OHSA online training course completion prior to assignment start.
