Location : Vaughan, ON
Compensation : $67,000 - 75,000 + strong benefits (effective after three months)

Position Overview :
Based in Vaughan , the Project Coordinator will work closely with the Projects team to manage parts orders, shipment, and invoicing as well as to organize, schedule, and coordinate all aspects of installation projects . The new hire will coordinate approximately five overlapping, short-term projects per week. This is a fast-paced role that requires excellent problem-solving skills, strong communication abilities, and a flexible, team-oriented mindset.

The ideal candidate has customer service, administrative, coordination and ideally experience in project coordination, preferably in blue-collar industries. They are driven, tech-savvy, and thrive in a small business environment where adaptability and a hands-on attitude are essential. Strong communication skills and a c ustomer service-oriented approach are critical for success.
Compensation :
Base salary of $67,000 to 75,000 + strong benefits package (after three months)
2 weeks of paid vacation + 2 week end-of-year shutdown (4 weeks total)
Standard hours : Monday–Friday, 8 : 00 AM–4 : 00 PM or 8 : 30 AM–4 : 30 PM or 9 AM to 5 PM
Full-time, on-site role in Vaughan office (newly renovated office relocation in 6 months)
Comprehensive training provided , including occasional visits to local sites
Key Responsibilities :
Parts / Order Management - 50%
Accurately enter parts orders into ERP system, and Excel, as per customer requirements
Ensuring timely arrival of parts, connecting with shipping vendors, and problem solving as needed
Oversee invoicing / costs for parts
Adhoc administrative / documentation related work In support of Sales and projects teams
Installation Project Coordination - 50%
Schedule and coordinate projects with clients, internal and third-party installers , ensuring alignment with client timelines and team availability.
Coordinate with departments (parts and service) to confirm necessary parts and technician availability for projects.
Maintain consistent communication with all stakeholders, including clients of varying roles and seniority, to manage project progress, changes, and unforeseen issues.
Build and maintain strong relationships with third-party installers, including negotiating rates and pricing for each project.
Problem-solve and address issues as they arise during project execution.
Use Excel and a resource management program (with Salesforce implementation planned for later this year) to manage project data and schedules.
Qualifications / Requirements :
5+ years of experience in a combination of administrative, customer service, and coordination roles.
1-2 years of experience project coordination, ideally in industries like construction, homebuilding, installations, or related blue-collar fields.
Familiarity with blue-collar or construction industry workflows is an asset.
Strong problem-solving skills to ensure project challenges are resolved efficiently and promptly.
Excellent time-management and organizational skills , able to act independently without direct supervision.
Tech savvy, strong typing skills, and Intermediate to advanced proficiency in Excel (e.g., organizing data, pivot tables) and a strong technical aptitude and ability to learn new tools and systems.
Outstanding communication and interpersonal skills, with a customer service-focused mindset.
Adaptable to constant change and ability to thrive in a hands-on, team-oriented environment.
