ABOUT YOU :

Pacific Fertility is hiring a Full-time Medical Office Assistant Supervisor for our Burnaby office scheduled Monday to Friday from 8 : 00am– 4 : 30pm.

The Medical Office Assistant Supervisor performs a wide variety of both administrative and procedural tasks and works as part of a multi-disciplinary team to deliver the highest standards of care while managing and providing daily direction and oversight to the MOA team.

YOUR RESPONSIBILITIES :

  • Manages Medical Office Assistant team.
  • Takes lead role in training new Medical Office Assistant team members.
  • Monitors Medical Office Assistant performance regularly and successfully address issues; creates plan for success for team members.
  • Creates, organizes, manages Medical Office Assistant schedules
  • Process Medical Office Assistant vacation requests and schedules appropriate coverage.
  • Attend PCRM clinical meetings and bring forth pertinent matters; assist with minutes as required.
  • Acts as liaison between Managing Director and Medical Office Assistant team regarding HR matters or concerns.
  • Acts as liaison between Medical Office Assistant team and other departments.
  • Reviews all Medical Office Assistant team incident reports, attends Incident Report Meetings to bring Medical Office Assistant incidents forward.
  • Ensures all Medical Office Assistant relevant information relating to policy and procedures is conveyed and implemented with team members.
  • Answer patient inquiries
  • Book and confirm patient appointments.
  • Prepare requisitions.
  • Confirm patient portal information is complete.
  • Ensure lab work is complete prior to patient treatment.
  • Scan and document in EMR
  • Unpack and put away clinical orders.
  • Assist physicians with procedures.
  • Obtain patient vitals.
  • Clean and prep examination and ultrasound rooms.
  • Sterilize medical equipment.

WHAT YOU BRING TO THE TABLE :

  • Medical Office Assistant certificate or Admin Health-related certification is required.
  • At least three years' experience as a Medical Office Assistant, or a related position.
  • At least two years in a Medical Office Assistant Supervisory role.
  • Proven ability to identify and successfully realize company goals and objectives.
  • Demonstrate innovative and analytical abilities, leadership skills, and exceptional communication skills to deliver excellent patient care.
  • Excellent customer service skills – serving patients with compassion and dedication.
  • Team player, adept at multitasking, and also the ability to work self-sufficiently when required.
  • Excellent English skills, both written and oral
