We are in search of an Invoicing and Collections Clerk to join our team in North York, Ontario. As part of our team, you will handle the preparation of invoices and reports for our customers, review and manage accounts receivable, and maintain strong customer relations. This role is instrumental in ensuring the efficient and accurate processing of customer credit applications and accounts.
Responsibilities :
- Manage and review accounts receivable on a regular basis to identify and address delinquent accounts
- Prepare invoices and reports for customers, utilizing our invoicing program
- Collaborate with the team to address significantly late accounts and implement appropriate measures
- Establish firm payment expectations with customers and ensure timely collection through proactive follow-up via phone and email
- Issue various financial documents, including invoices, inventory reports, and account statements, leveraging both computerized and manual systems
- Consult with internal team members to clarify invoice and job information
- Respond to customer inquiries, maintain strong customer relations, and effectively resolve any issues
- Perform general clerical duties, including the use of word processing, spreadsheet, email, filing, faxing, and photocopying
- Consistently meet monthly timeline requirements for collections and reporting
- Adapt and take on additional duties and responsibilities as needed.
- Minimum of 1+ years of experience in a similar role such as Invoicing and Collections Clerk
- Proficient in Account Reconciliation to ensure all financial records are accurate
- Experience with Accounts Receivable (AR) to manage all money owed by customers
- Familiarity with Billing practices to create and send invoices to clients
- Knowledge of Cash Applications for recording client payments
- Ability to handle Cash Collections effectively to ensure prompt payment from customers
- Experience in Commercial Collections to manage business-to-business financial transactions
- Proficient in Microsoft Excel for data management and financial analysis
- Familiarity with QuickBooks for managing and paying bills, business payments, and payroll functions
