Our client, a well-established Vancouver law firm, is seeking a highly organized and trusted Legal Administrative Assistant / Executive Assistant to support senior firm leadership and lawyers within a busy Real Estate practice. This role is well suited to an experienced EA or senior LAA who brings strong judgment, discretion, and the ability to manage competing priorities in a professional services environment.
The Role
This position provides high-level administrative and executive support to firm leadership, while also assisting lawyers with legal and operational matters. The successful candidate will act as a key point of coordination within the firm and serve as a reliable right hand to senior stakeholders.
Key Responsibilities
- Providing comprehensive administrative and executive support to senior firm leadership and Real Estate lawyers
- Managing highly confidential and sensitive information with discretion and professionalism
- Acting as a liaison between internal teams and external contacts, prioritizing urgent and time-sensitive matters
- Managing multiple Outlook calendars, key dates, bring-forward systems, and scheduling internal and external meetings
- Assisting with meeting preparation, presentations, and special projects
- Coordinating travel arrangements, itineraries, and expense submissions
- Preparing, formatting, editing, and proofreading legal documents and correspondence
- Maintaining and organizing complex legal files and document management systems
- Supporting monthly billing and administrative processes from start to finish
Qualifications & Experience
- Completion of an accredited Legal Administrative Assistant or Executive Assistant program
- Approximately 3–5 years of experience supporting senior leadership in an executive assistant or senior administrative role
- Experience in a law firm or professional services environment strongly preferred
- Exposure to real estate practices is an asset
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills
- Proficiency with Microsoft Office and Adobe PDF; experience with legal document management and accounting systems is an asset
- Ability to multitask, prioritize effectively, and perform well in a fast-paced environment
- High level of professionalism, discretion, and sound judgment
Compensation
- Salary range of $70,000 – $85,000, commensurate with experience
