The Executive Assistant position has primary responsibility for providing day‑to‑day administrative support to the Health Care Aide Department Head. The position requires a dynamic individual capable of managing various responsibilities to ensure the efficient operation of the healthcare aide program and support the Program Manager in achieving program goals.
Major Accountabilities / Responsibilities
- Organize and maintain the Program Manager’s schedule, including appointments, meetings, and travel arrangements.
- Act as the primary point of contact between the Program Manager and internal / external stakeholders, ensuring timely and professional communication.
- Prepare and edit reports, presentations, and other documents, ensuring accuracy and adherence to college standards.
- Arrange and coordinate meetings, including preparing agendas, taking minutes, and tracking action items to facilitate efficient decision‑making.
- Manage and maintain confidential program data, student records, and relevant documentation, ensuring compliance with privacy regulations.
- Maintain filing system and ensure documents are organized and accessible.
- Assist in organizing events related to the healthcare aide program, such as workshops, seminars, and recruitment activities.
- Handle budget tracking, expense reports, and financial documentation related to the program.
- Act as a liaison between students and the Program Manager, addressing inquiries, providing information, and coordinating student‑related activities.
- Stay informed about college policies and procedures, ensuring the healthcare aide program operates in accordance with institutional guidelines.
- Support the Program Manager in various projects, conducting research, analyzing data, and contributing to the successful implementation of program initiatives.
- Various miscellaneous tasks as required.
