Job description

We are seeking a Project Administrator for our client in Cambridge, ON for a 14-month contract. In this role, you will focus on the end-to-end coordination of customer orders, in-house production releases, and administrative support for project coordinators. This will include heavy order entry processing into an ERP system called SAP.

The ideal candidate will be a self-directed, team player with a positive attitude. Key attributes are that they will be organized, courteous, precise, and professional with a ‘customer-first’ mindset in interactions with customers, team members, and industry peers. A strong ability to adapt and work under pressure is essential.

Responsibilities

Customer and Order Management :

  • Accurately input and process customer orders and credits using our ERP system, ensuring flawless data entry (part numbers, pricing, delivery dates, etc.).
  • Coordinate with Purchasing and Warehouse teams to manage parts ordering and on-time customer deliveries.
  • Track shipments, prepare delivery notes, and complete invoicing.
  • Production Coordination :

  • Coordinate the scheduling of secondary builds with assemblers and purchasing.
  • Create production labels and Quality Control worksheets.
  • Participate in weekly production meetings and provide consistent updates.
  • Administrative and Audit Support :

  • Support Project Coordinators by assembling, scanning, and filing production binders.
  • Update the Quality Management System (QMS) with actual ship dates.
  • Manage customer satisfaction surveys, collect feedback, and catalogue complaints per company guidelines.
  • Qualifications

  • 2+ years of experience in a similar capacity.
  • Proficient in ERP Software (SAP preferred) and MS Office Suite, including Excel.
  • Exceptional organizational skills, attention to detail, and ability to work under pressure.
  • Strong oral and written communication skills with the ability to manage customer expectations.
  • Experience in manufacturing are considered a strong asset.
  • Proven analytical and problem-solving ability.
