We are currently in need of an Office Manager to join our team in North York, Ontario. As an Office Manager, you will be responsible for staff supervision, addressing client concerns, managing vendor relationships, and overseeing various administrative tasks. This role offers a contract to permanent employment opportunity.
- Team Management : Supervise 7 staff members, including administrators and reporters.
- Vendor and Contract Management : Manage vendor relationships, deposit accounts, passwords, and invoices.
- Human Resources : Oversee staff (in-house and remote), handle group benefits, payroll processing, and maintain employment records.
- Client Account Management : Address client concerns, resolve complaints, and meet client needs.
- Sales Support : Handle incoming inquiries, manage international service queries, and send pricing information to prospects.
- Training : Provide training for all positions and distribute client-specific needs memos.
- IT Management : Set up systems for new hires, deactivate departing staff, troubleshoot system issues, and manage system backups.
- Production Oversight : Monitor production efforts, calculate bonuses, assign workloads, and support production team tasks.
- Accounting Support : Assist with monthly reporting and accounts receivable as needed.
- Administrative Duties : Manage emails, maintain SharePoint filing systems, process search orders, and oversee report delivery.
- Event Planning : Organize and execute social events and luncheons.
- Proven experience in team supervision and administrative roles.
- Strong understanding of vendor and contract management.
- Familiarity with payroll systems, group benefits administration, and HR best practices.
- Excellent client service and complaint resolution skills.
- Ability to train and support staff across multiple roles.
- Technical proficiency with systems like Salesforce and website management.
- Detail-oriented with strong organizational and multitasking abilities.
- Experience in production monitoring and reporting.
- Basic accounting and accounts receivable knowledge.
- Effective communication and interpersonal skills for team and event management.
