This role is a support member in General Surgery

Hours of Work

• Monday to Thursday 8 : 30 am – 5 : 00 pm
• Friday 8 : 30 am – 1 : 00 pm

Certified Medical Office Assistant required

Job Summary

Reception : Greet and arrive patients updating demographics and seating in room.

Create EMR for new patients

Answer phones; book appointments; book referrals, procedures and tests, MRI, CT Scan, Colonoscopy, Gastroscopy, Surgical Dates (OR) and other as required

Manage mail, faxes and messages

Send referring doctors an acceptance of referral receipt and estimated wait time or appointment date within 2 weeks of receipt

Send referring doctors booking notification after confirming with patient

Filing and scanning delivered to records department daily

Review schedules for accurate bookings and time slots

Prep patient charts for office

Set up exam rooms

Complete lab requisitions and provide specimen containers as needed for patients

Instrument cleaning and sterilization

Replenish stationary supplies

Order medical supplies

Complete doctor’s office, surgical schedules in Accuro and on call schedules

Enter in OR requests in BCHS Novari OR management system according to their policies

Call pts with OR dates when OR time available

Complete checklist and book OR

Call pts with preop appointments for the BGH

Complete preop charts week before ORs, and print out billing sheets for doctors,

Notify Surgical Assist of start time for the OR and confirm cancelled dates with same

Cancelling ORs at the doctor’s discretion following detailed checklist

Accommodating doctors urgent OR requests and scheduling requests

Adjusting schedule and pts accordingly

Moving ORs up at short notice day before OR

Make sure all OR booking info including consents are scanned into Accuro and Novari

Provide physician with OR list and case files day prior to OR

Scope and lump and bump clinics send list of cases :

1 week prior to clinic to BGH Ambulatory Care

1 day prior updated list (even if no changes) to BGH Ambulatory Care

Last in office day prior to clinic, provide list to physician

Prepare all paperwork for Multidisciplinary Cancer Conference (MCC) semi-monthly meetings for any cancer cases.

Complete insurance, WSIB and sick benefit forms for physician signature

Complete private and out of country billing claims

Other duties and projects as assigned
