JOB PURPOSE :
The Orientation Coordinator plays a key role in supporting the successful transition of new students to Trent University. This position is responsible for the planning, coordination, and execution of orientation and related transition programming. The Coordinator works collaboratively with university departments, student leaders, and external partners to deliver inclusive, engaging, and informative programming that fosters student success and belonging. The incumbent ensures that all programming is grounded in theory, best practices, and ongoing assessment initiatives. Central to the role is the intentional delivery of key learning objectives related to Trent University’s curricular approach that supports student transition and personal growth.
KEY ACTIVITIES :
Program Development, Delivery and Evaluation
- Design and implement evidence-based orientation programming for incoming undergraduate students that aligns with enrollment timelines and supports both academic and personal transition needs. Key initiatives include Fall Orientation Week, Winter Orientation, Spring Orientation, and pre-arrival programming.
- Coordinate year-round evidence-based transition initiatives to support first-year student success.
- Liaise with university departments, student leaders, and external partners to ensure alignment and support for orientation and transition related programs.
- Support the Colleges and Student Services Committee’s (CASSC) Orientation Subcommittee as Committee Administrator and, when appointed, Acting Chair.
- Contribute to the development and presentation of the annual Orientation Ancillary budget to CASSC.
- Collaborate with the Communications Office and other university departments to coordinate a unified message to students related to orientation and transition programs including : e-comms, centralized website updates, and social media.
- Manage large-scale event logistics including space bookings, catering, equipment rentals, personnel staffing, and risk management.
- Serve as a primary point of contact for Orientation-related inquiries.
- Collaborate with other staff and student groups on programming for equity-deserving students to meet their specific access, transition and inclusion needs within orientation and transition programming.
- Coordinate budget-related activities in collaboration with the Manager, Student Affairs and with support from the Financial Officer, Student Affairs including : tracking expenditures, preparing cost estimates, arranging payments, and ensuring responsible use of resources related to the Orientation Ancillary account.
- Conduct program evaluation assessment initiatives to understand student needs and experiences related to orientation and transition programming.
- Contribute to annual reporting initiatives related to orientation and transition programming.
- Contribute to the effective delivery of student affairs initiatives and ensure orientation and transition programming is implemented in a manner that is safe, educational and engaging.
