Job description


Position Summary:
Responsible for coordinating project execution and order management for mobile systems projects ensuring alignment across engineering, purchasing, production, quality, and sales.

Tasks/Responsibilities:

Workflow governance and stage-gate control for mobile systems projects

  • Confirm adherence to defined workflows, documentation requirements, and release gates.
  • Ensure project progress through defined checkpoints from quotation through purchasing, production release, and close-out.
  • Monitor completeness/quality of expected deliverables before release to subsequent department/stage.
  • Identify workflow deviations, gaps, or non-conformances and work with team leads to rectify/remedy.
  • Drive consistency across project files, job packages, and engineering deliverables so work output follows a repeatable standard.

Project Coordination & Department Alignment

  • Coordinate timelines and handoffs between engineering, purchasing, production, quality, and sales.
  • Track project progress from quotation through order execution and production release.
  • Support workload planning, scheduling visibility, and prioritization across active projects.
  • Ensure open items are identified, assigned, and driven to closure to prevent avoidable delays.

Documentation Control Quality Alignment

  • Ensure project documentation aligns with internal standards, quality requirements, and controlled workflow expectations.
  • Verify completeness of project packages including necessary supporting documentation.
  • Support traceability, revision control, and document organization through the full project lifecycle.
  • Align with Quality department to reinforce process compliance and required proper project records.

Risk Reduction, Cost Review & Project Close-Out

  • Support project close-out activities including document roll-up, cost & profitability review, and final project file organization.
  • Assist in identifying schedule, process and execution risks before they affect production or margin.
  • Help ensure cost versus quoted performance is reviewed and properly captured to support future quoting accuracy and profitability improvement.
  • Contribute to CI initiatives related to project flow, risk reduction, and execution discipline.

Cross-Functional Liaison

  • Act as central coordination point between departments for workflow-related matters.
  • Support communication and accountability across departments to reduce ambiguity and missed handoffs/assignments.
  • Reinforce common process expectations so projects are executed consistently regardless of the individual engineer/applications specialist or sales lead involved.

  • Strong coordination and communication skills across multiple departments and personalities.
  • Ability to manage multiple active projects, competing priorities, and schedule-driven deliverables.
  • Strong awareness of risk, execution gaps, and opportunities for process improvement.
  • Comfortable enforcing standards and holding teams accountable to documented workflow requirements.

Qualifications:

  • Degree or diploma in Business, Operations, Engineering Technology, Manufacturing, or related field.
  • 3–7 years of experience in project coordination, production support, manufacturing administration, technical support, or similar cross-functional execution roles.
  • Experience working in an environment with engineering documentation, purchasing, production, and quality-controlled processes.
  • Experience working with project documentation such as drawings, BOMs, change records, and job packages.
  • Familiarity with ERP systems such as SAP and common project/document tracking tools.
  • Exposure to manufacturing, production scheduling, or engineered-to-order workflow environments.
  • Understanding of quality systems, document control, or process compliance is considered a strong asset.
