The Operations Manager at Academy manages the daily activities of the agency through actioning internal projects to improve efficiency, reduce costs, innovate and implement ways of working. This vital role requires an individual who both exemplifies the culture we’ve built, but also instills and enforces in our day-to-day operations. The area of responsibility is wide and requires thorough knowledge of all company processes, so you, as a successful candidate, are competent and able to plan and facilitate several operation activities simultaneously through to completion. On a day-to-day basis, the Operations Manager will be responsible for : ResourcingForecasting and allocating resources and working in conjunction with the relevant parties to effectively staff projects against approved scopes of workEnsure agency resources efficiently spending time on projects and at optimal billable utilizationFollow the existing resourcing process. Over time, provide ideas on how to improve the process for increased accuracy and efficiencyFreelancers Build and maintain a roster of freelancersBuild and manage freelancer contracts Review and approve freelancer invoices for processing Internal Projects Acting as the lead and project manager for various internal projects (i.e. Managing updates to the agency website) to ensure a timely and effective executionAgency OperationsEagerness to consistently innovate and simplify ways of workingDevelop process documents with input from relevant parties, roll out to the agency and follow up to make improvements and adjustments moving forward Actively initiating collaborative relationships and seamlessly working across all departments and teams within the agency. Eliminate siloing. Helping departments improve efficiency as set out by the company objectivesFoster a results-oriented mindset across the agency, working towards agency and departmental OKRs. Track and communicate progressAssess agency costs on a regular basis (i.e. tools & subscriptions, etc.) to ensure they are needed and used optimallyBuild and maintain an exceptional employee engagement across the agency.
