Job description

Job Description

The Executive Assistant provides high-level administrative support to senior executives while also supporting the Magna Mining’s corporate governance and investor relations activities. The incumbent requires strong judgment, discretion, follow-through and the ability to anticipate what needs to happen next.


All Magna Mining team members are expected to work collaboratively with others, lead the way in health and safety, act with honesty, integrity, and foster an entrepreneurial spirit in pursuit of excellence.

Responsibilities

  • Provide day-to-day administrative support to members of the executive team, including calendar management, meeting coordination, travel and expense administration.
  • Coordinate internal and external meetings, ensuring executives are prepared with required materials and information.
  • Assist in the planning and execution of corporate events (both internal and external) including PDAC activities, etc.
  • Facilitate and manage the Retail Investor VIP program.
  • Manage competing priorities, deadlines and follow-up items on behalf of executives.
  • Prepare correspondence, presentations, reports and other materials.
  • Assist with website maintenance.
  • Handle confidential and sensitive information with a high degree of discretion.
  • Coordinate executive travel and logistics for conferences (including registration and materials), Board meetings, investor activities and other corporate events.
  • Coordinate logistics and materials for investor meetings, conferences, roadshows, site visits and other investor-facing activities.
  • Coordinate invoices, vendors, and budgets related to investor relations activities.
  • Prepare reports and presentation materials as required.

Requirements

Qualifications: Formal Education, Certifications or Equivalents

  • Post secondary education in business administration, office administration, legal administration, or a related field.

Work Experience: Nature & Length

  • 3 or more years of progressive executive or senior administrative support experience.
  • Experience within a publicly traded company, mining company or other highly regulated business would be an asset.

  • Exceptional written and verbal communications skills.
  • Ability to work independently in high-pressure environments.
  • Event planning and project coordination skills.
  • High-level administrative and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
