I. Job Summary
Our Maintenance Specialists provide clerical and administrative support to Fleet Managers and assist in coordinating all aspects of daily fleet operations, including recording and reporting data.
II. Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.
Maintains and administers fleet data within our company maintenance software (COMPASS).
Administers payroll timekeeping systems, payroll processes, daily editing, setting up of payroll schedules, vacation scheduling and provides reporting for Fleet Manager.
Data entry of commercial fleet repair, work orders and maintenance of warranty claim reporting systems, including collection and reporting of data required for quarterly warranty incentive programs.
Maintains a consistent communication and relationship with vendors.
Administers and maintains purchase order requisitions through WM purchasing software systems and maintain SOX compliance.
Reconciles all fleet purchases including upload of invoices to SharePoint.
Manages daily fuel and hour meter entries and reconciliation.
Manages all aspects of parts purchasing and inventory control including tire purchasing through the company’s internal tire purchase management system.
Maintains inventory minimum and maximum parts levels and conducts the biannual physical parts inventory count.
Prepares for all month-end processes and procedures in a timely manner meeting required month-end reporting deadlines.
Completes and maintains a variety of fleet reports as directed by the Fleet Manager.
Maintains all fleet filing systems with respect to company policy and government required expectations.
Assists in the implementation of fleet projects as needed and performs other duties as required by Fleet Manager.

Outstanding organizational skills with ability to multi-task in fast-paced environments.
Excellent communication skills; ability to maintain business relationships with customers and vendors.
Proficient in the use of computer applications (Kronos, AS400, MS Office, SharePoint) to record, analyze and report information.
High level of attention to detail; accuracy with data entry.
Parts knowledge (heavy truck knowledge and parts ordering)

The expected base pay range for this office/on-site position is $48,000 - $55,000 . This range represents a good faith estimate for this position. The specific salary offered to a successful candidate may be influenced by a variety of factors including the candidate’s relevant experience, education, training, certifications, qualifications, and work location.
