Does this sound like you?

Are you someone with strong analytical skills, who enjoys working with various departments and maintaining a high degree of accuracy? We're seeking a Payroll Administrator with a dynamic personality, strong attention to detail, and the ability to manage multiple payrolls while supporting compliance, reporting, and employee inquiries.

About the role:

Reporting to the Corporate Controller, the Senior Payroll Administrator is responsible for processing Canadian payroll and supporting payroll activities across all SGW locations. This includes year-end processes, managing statutory and regulatory filings, maintaining payroll data accuracy, and providing high-quality service to team members and internal departments.

Location:

Located at our head office at 36 Vimy Street, Acton, Ontario, Canada

Responsibilities:

  • Work within the payroll team to accurately process payroll for team members on a regular basis, adhering to Canadian payroll regulations.
  • Process various bonus and commission programs (monthly, semi-annual, and annual).
  • Prepare and file all payroll-related statutory filings (e.g., WCB/WSIB, EHT, CPP, OAS).
  • Process and reconcile payroll-related journal entries, including vacation accruals.
  • Validate team member changes, new hires, leaves, departures, and administer benefit programs including RRSP/DPSP and paid time off.
  • Perform regular self-audits and support internal, off-cycle, and year-end audits.
  • Assist team members with issues involving pay, benefits or claims, collaborating with HR.
  • Submit ROEs to Service Canada; process T4s and W2s for Canadian and U.S. payrolls.
  • Maintain full ownership of payroll processes and relationships for Canada, USA, Mexico, and oversee Honduras payroll through partners.
  • Assist in setting up payroll for new U.S. states and Canadian provinces as required.
  • Approve payroll submissions for third-party invoicing.
  • Process premium payments for all benefit programs across locations.
  • Prepare and submit accurate payroll tax filings and remittances with the Financial Analyst.
  • Generate payroll reporting, including semi-annual reporting in collaboration with the HRIS Specialist.
  • Stay current on payroll regulations and tax laws across Canada, the U.S., Mexico, and Honduras.
  • Conduct government surveys and support audits (e.g., Statistics Canada, garnishments).
  • Prepare and balance period-end reports; reconcile payrolls to bank statements.
  • Provide backup support to Finance (e.g., Accounts Payable), HRIS Specialist, and cross-train to support payroll during vacations/absences.
  • Take on ad-hoc and special projects as required.

Qualifications:

  • Minimum 5 years’ experience in a similar role, preferably with a mid-size manufacturing or distribution company.
  • Previous experience coaching / mentoring junior staff preferred.
  • Accredited payroll certification; strong understanding of finance practices.
  • Experience working with both Canadian and U.S. payroll required; Mexico payroll experience is considered an asset.
  • Post-secondary degree or diploma in Accounting, Finance, Business, or related discipline.
  • Strong knowledge of Canadian payroll regulations; familiarity with U.S. payroll regulations preferred.
  • Experience with ERP and payroll systems (e.g., NetSuite, ADP).
  • Advanced Excel skills and strong report-writing capabilities.
  • Strong attention to detail and a high degree of accuracy.
  • Excellent collaboration and communication skills.
