Human Resources Coordinator

Position Summary

We are seeking a highly motivated and proactive Human Resources Coordinator to join our Human Resources team. The Human Resources Coordinator will be based in Montreal but will be a key member of the U.S. Human Resources team and provide support to the U.S. Head of Human Resources and members of the U.S. Human Resources team.

The ideal candidate will have strong problem-solving skills, excellent communication and interpersonal skills, and the ability to juggle multiple projects at the same time. The ideal candidate must also demonstrate discretion and uphold confidentiality at all times. This opportunity would be an excellent advancement for someone with some experience in Human Resources looking to further develop their career in the field.

Essential Duties and Responsibilities

  • Draft offer letters, separation agreements, employment verification letters, and manage employment verification and reference requests
  • Provide additional support for employee benefits and payroll and oversee payroll report reconciliation
  • Manage onboarding and offboarding processes for all employees, including leave of absence requests and related documentation
  • Track, maintain, and update personnel files and HRIS systems
  • Assist with the maintenance and tracking of US-wide training programs, including harassment training
  • Ensure timely completion and recording of evaluations
  • Monitor and report on the following: adherence to the hybrid work policy, overtime, turnover analysis, and other external requirements
  • Request and monitor background checks for all U.S. hires, and manage reconciliation of related invoices
  • Provide administrative support for subpoenas, visas and government filings
  • Maintain tracking, purchasing, and distribution of anniversary gift cards
  • Design, write, and distribute the US HR Newsletter, and maintain US HR materials on the company intranet
  • Provide additional support to the broader Human Resource team, including but not limited to supporting updates to various US policies and manuals, responding to ad-hoc requests, assisting with the US Wellness Program initiatives, and monitoring the U.S. HR inbox

Requirements

Minimum Qualifications

  • Bachelor’s degree required
  • Minimum of 3 years of experience as an HR Generalist, demonstrating proficiency in various HR functions including recruitment, employee relations, payroll, benefits, and / or compliance.
  • Discreet handling of highly sensitive and confidential information
  • Self-starter mentality and ability to work well independently, as well as with a team
  • Ability to operate effectively in a fast-paced environment
  • Exceptional attention to detail
  • Excellent verbal and written communication ability
  • Comfort working in highly confidential, fast-paced, high volume, high touch, high impact situations.
  • Flexibility and ability to respond to and address ad hoc requests that don’t necessarily follow structure.
  • Forward-thinking, structured, and process-oriented thinker
  • Basic proficiency with MS Office Suite

Nous recherchons un(e) coordonnateur(trice) des ressources humaines hautement motivé(e) et proactif(ve) pour rejoindre notre équipe des ressources humaines. Basé(e) à Montréal, le/la coordonnateur(trice) des ressources humaines sera un membre clé de l'équipe des ressources humaines américaine et apportera son soutien au responsable des ressources humaines aux États-Unis ainsi qu'aux autres membres de l'équipe.

Le/La candidat(e) idéal(e) possède de solides compétences en résolution de problèmes, d'excellentes aptitudes en communication et en relations interpersonnelles, et la capacité de gérer plusieurs projets simultanément. Il/Elle doit également faire preuve de discrétion et respecter la confidentialité en tout temps. Ce poste représente une excellente opportunité d'évolution pour une personne possédant une première expérience en ressources humaines et souhaitant développer sa carrière dans ce domaine.

Principales responsabilités

· Rédiger les lettres d'offre d'emploi, les accords de rupture de contrat, les attestations d'emploi et gérer les demandes de vérification d'emploi et de références.

· Apporter un soutien supplémentaire en matière d'avantages sociaux et de paie et superviser le rapprochement des rapports de paie.

· Gérer les processus d'intégration et de départ de tous les employés, y compris les demandes de congé et les documents associés.

· Suivre, gérer et mettre à jour les dossiers du personnel et les systèmes SIRH.

· Contribuer à la gestion et au suivi des programmes de formation à l'échelle nationale, y compris la formation sur la prévention du harcèlement.

· Assurer la réalisation et l'enregistrement des évaluations dans les délais impartis.

· Assurer le suivi et la production de rapports sur les éléments suivants : le respect de la politique de travail hybride, les heures supplémentaires, l'analyse du taux de rotation du personnel et autres exigences externes.

· Demander et suivre les vérifications d'antécédents pour toutes les embauches aux États-Unis et gérer le rapprochement des factures correspondantes.

· Fournir un soutien administratif pour les assignations à comparaître, les visas et les déclarations gouvernementales.

· Gérer le suivi, l'achat et la distribution des cartes-cadeaux d'anniversaire.

· Concevoir, rédiger et diffuser la newsletter RH américaine et maintenir à jour les documents RH américains sur l'intranet de l'entreprise.

· Apporter un soutien supplémentaire à l'équipe des ressources humaines, notamment en contribuant à la mise à jour des différentes politiques et manuels américains, en répondant aux demandes ponctuelles, en participant aux initiatives du programme de bien-être aux États-Unis et en gérant la boîte de réception RH américaine.

Qualifications minimales

• Diplôme de licence requis

• Minimum de 3 ans d'expérience en tant que généraliste des ressources humaines, avec une maîtrise avérée des différentes fonctions RH, notamment le recrutement, les relations avec les employés, la paie, les avantages sociaux et/ou la conformité.

• Gestion discrète des informations hautement sensibles et confidentielles

• Autonomie et capacité à travailler efficacement de manière indépendante et en équipe

• Capacité à évoluer efficacement dans un environnement dynamique

• Souci exceptionnel du détail

• Excellentes compétences en communication orale et écrite
