This position is eligible for a hybrid work model. When attending an event or meeting in person, your primary office location will be based out of the Operations Centre at 3330 Harvester Road and City Hall (426 Brant St.). Work location is subject to change at the discretion of the City due to operational demands. Effective 2026 this role will be required to be on site 50% of the time each month and will rotate between the Operations Centre, City Hall (426 Brant St.) and Simms Square (390 Brant St).
Position Overview
Reporting to the Supervisor, Forest Protection, this position provides information to the public, contractors, and internal staff about the City's Public and Private Tree By-laws, and other tree-related inquiries. This role guides applicants through the tree permit application process and reviews tree permit applications and supporting documentation.
Responsibilities
This position is responsible for :
Serving as the primary point of contact for Forest Protection inquiries (phone, email, and in person), providing accurate information on forestry services and tree permit requirements.
Delivering excellent customer service by addressing inquiries promptly, facilitating engagement opportunities, and escalating complex issues to management when necessary.
Coordinating all aspects of tree permit applications, including the review of site, grading, and architectural plans, arborist reports, and tree protection plans to ensure compliance with by-laws and standards.
Managing applicant communications, follow-ups, and resubmissions to ensure completeness and accuracy of submissions.
Reviewing active and open permit files within the tracking system to generate task lists and follow-up actions for Forest Protection Officers.
Assisting with staff scheduling, file distribution, and related coordination activities.
Supporting the supervisor in developing and updating standards, specifications, guidelines and online content related to urban forestry practices.
Conducting research and analysis to support program evaluation, policy development, benchmarking and special projects.
Collecting, analyzing, and reporting on data on permit applications, payments, and approvals to identify trends to inform service improvements.
Performing data quality checks and preparing reports on permit activity, including application volumes, processing timelines and financial metrics.
Coordinating permit releases and approvals by facilitating communication between officers, applicants and payment staff to ensure timely issuance.
Maintaining accurate records of permits, payments, and related documentation in accordance with municipal standards.
Performing other duties as assigned to support forest protection and urban forestry initiatives.
Requirements
You have successfully completed a university degree or college diploma in arboriculture, forestry, landscape architecture, environmental sciences, physical geography, or a related field. An ISA Certified Arborist designation, or the ability to obtain certification within one (1) year of employment, is required. Possession of an ISA Tree Risk Assessment Qualification (TRAQ) is considered an asset. You bring two (2) to four (4) years of relevant experience in urban forestry or a related field, along with a solid understanding of urban forestry principles, practices, and regulations.You can read and interpret property surveys, development, site, and grading plans with accuracy. You are proficient in property information and customer relationship management systems (e.g., AMANDA, CRM) and have advanced skills in Microsoft Office 365 applications, including Outlook, Word, and Excel. You demonstrate strong teamwork, organizational, project management, and communication skills, which are essential for success in this role.
