The Faculty Development office reports to the Associate Dean, Faculty Development and operates at three levels. Strategically the department contributes to Ivey’s strategy of creating thriving and successful work experience for all faculty – regardless of their rank and employment relationship. Successful faculty assure the school of its ability to succeed on its research mission, the ability of faculty to contribute to a superior student experience across our programs and to govern aspects of our operations that are based on the collegial model of governance. Operationally the department oversees and executes important workflows for the school including search and appointment; performance evaluation; promotion, tenure, and continuing status; workload planning and management; and other faculty management processes. Tactically the department manages and executes daily activities associated with individual faculty contracts, letters, workload, leaves, sabbaticals, salary adjustments etc.
Position Overview :
The Faculty Development Officer plays a critical role within the Faculty Development portfolio. The incumbent will facilitate and oversee a wide range of administrative, human resources, communications, and financial functions and processes within the unit and the Ivey Business School. The individual is responsible for analysis and interpretation of policy and procedures within the Faculty Collective Agreement (FCA). The Faculty Development Officer interacts with internal and external stakeholders, responds to inquiries and addresses concerns, while also working collaboratively with the Associate Director, Faculty Development and Services and Associate Dean, Faculty Development.

Responsibilities :
- Faculty Collective Agreement (FCA) Administration
- Accountable for the administration, implementation, and interpretation of Faculty Collective Agreement (FCA) processes and procedures for approximately 123 full-time and 40 part-time faculty including developing nomination slates and initiating elections for FCA mandated committees and managing the administrative functions of these committees.
- Performance Evaluation (PE)
- Responsible for conducting committee election and enforcing FCA guidelines regarding committee membership and composition. The role is to be an authority on PE policies and procedures.
- Responsible for ensuring faculty are submitting in the correct year and scheduling meetings with each faculty member in the year they are submitting, as per the Collective Agreement.
- Prepares Annual Report forms distribution, including pre-populating research information for PE documents by linking multiple data sources and completing thorough checks for accuracy prior to distribution.
- Request input from Dean, Associate Deans regarding leadership performance and service quality of Program Directors and similar information from Directors regarding major service roles within in the school (Section Head, Committee Membership, etc.).
- Serve as official record-keeper for meetings to ensure accuracy of discussion in the case of grievance or arbitration.
- Calculates Performance Assessment Indicator (PAI) for each faculty member using weighted scores and then generates Performance Evaluation (PE) memos for distribution to faculty and UWO Human Resources.
- Promotion and Tenure (P&T)
- Responsible for conducting committee election and enforcing FCA guidelines regarding committee membership and composition.
- Main point of contact and subject matter expert for all faculty being considered for P&T (typically 5-8 cases per year).
- Initiates P&T process by providing concise direction to faculty members regarding requirements for P&T, including FCA requirements for dossier compilation and relevant deadlines and manages the process of obtaining external assessment letters for faculty under consideration for P&T while liaising with external reviewers throughout the process.
- Solicits internal letters of review from faculty, staff, and students. Responsible for carefully sanitizing all external and internal letters to ensure anonymity.
- Provides direct support to faculty, P&T committee, Associate Dean and Dean on all matters relating to P&T, including during potential grievances or arbitrations.
- Appointments
- Develops and manages nomination and election process for Appointments Committee, ensuring FCA compliance.
- Act as advisor to the Dean, Associate Dean, and all committee members and will respond to any FCA matters where appropriate, coinciding with the duties noted in “Faculty Recruitment”.
- Management of the contract renewal process for all Limited Duties faculty, including completing dossiers for review by the Appointments Committee (typically 5-8 cases per year), which involves soliciting feedback, generating course evaluation reports, and creating course evaluation Analysis, and manages search committees.
- Faculty Recruitment Primary point of contact and is responsible for shepherding the recruitment process of new faculty through the Appointments Committee, Search Committees, administration, and Associate Deans. Liaises with the Office of Faculty Relations to coordinate international recruitments and must be a subject matter expert on FCA recruitment guidelines as well as Provincial and Federal immigration guidelines. Composes recruitment advertisements ensuring FCA and Federal recruitment compliance, generates statistical reports for required outlets, including the Government of Canada. Interpret salary benchmarking data to assist the Associate Dean, Faculty Development in determining balanced and equitable salary proposals for new recruits using a variety of data, including AACSB salary reports, comparison school data, internal faculty salary tools to formulate and present offers to the Associate Dean for approval. Prepares full-time contracts and contract renewals, including Alternative Workload and Reduced Workload Agreements. Acts as a liaison with the Office of Faculty Relations to provide hiring recommendations and benchmarking data that is required to obtain immigration clearances and work permits. Remain up to date on changing policies and procedures within the University and the Government including strong familiarity with immigration policy and legislation.Manages the recruitment email, enters applications into Salesforce and generates reports as necessary for area groups and immigration purposes. Assists with itinerary development, meeting bookings, travel arrangements and serves as main point of contact for all faculty recruits.
- Faculty Orientation, Onboarding, and Learning Events Point person for new faculty members (on average 10 per year, with some years more than 20 new hires) and assists with the complex and sensitive tasks related to relocation as outlined in the member’s letter of appointment. Reviews and advises on estimates from moving companies, develops and manages an annual moving budget (approximately $500,000 per year), reviews expenses for approval and tracks moving allowances for new faculty and ensures compliance with UWO and Canada Revenue Agency. Have knowledge on the University and the City of London and be able to provide information on external resources such as real estate agents, school boards, childcare, and other community resources for new residents. Liaises with UWO Human Resources, Faculty Relations, Pension and Benefits to ensure a seamless transition to Western, and must liaise with key stakeholders, including area group coordinators and Facilities Manager to determine appropriate office assignments for incoming faculty. Works closely with Assistant Dean, Faculty to organize and facilitate meetings with key stakeholders (Area Group Council, New Faculty Lunch and Learns, etc.).
- Faculty Appointments, Salary, and Benefits Administration Prepares contracts and personnel documentation, verifies employment eligibility, secures approvals, and monitors the flow of information through the system. Ensures paperwork is completed accurately and in a timely manner according to Faculty Relations and Human Resources deadlines. Manages the Professional Expense Reimbursement and Expense reimbursements processes, ensuring faculty are aware of FCA and CRA driven timelines.In-depth knowledge of expense policies within the University and Canada Revenue Agency and be able to provide timely and accurate information to all stakeholders. Main point of contact for Faculty questions and concerns, must have a thorough knowledge of Western’s pay system, benefits, and pensions. The incumbent is delegated to review and approve all faculty PER claims on behalf of the Associate Dean, Faculty Development. Works closely with faculty, Western Immigration specialists, Faculty Relations, and Facilities to appoint Visiting Scholars and Adjunct appointments, issuing letters of invitation, processing paperwork, and ensuring logistics are complete prior to arrival.
- Other Activities Manages various tasks, including undertaking investigation, research, and analysis of sensitive and confidential matters (Course Evaluations, PE, P&T) and reports to Associate Director, Faculty Development and Services and Associate Dean, Faculty. Organizes and schedules Developmental Review meetings, including managing the process of scheduling pre-tenure meetings between the Associate Dean, Faculty Development, and pre-tenured faculty each spring, compiles dossiers for review by the Associate Dean, attends review meeting and keeps an accurate record of the conversation. Drafts review memos for review by Associate Dean to be sent to faculty members.Oversees the School’s nominations for Distinguished University Professor (DUP), Faculty Scholar, and other prestigious awards. This includes providing direction and support in generating reports, compiling information from the nominee and external reviewers, composing nomination letters, and compiling and reviewing dossiers prior to presentation to the Associate Dean.Works closely with Facilities Management to address office assignments, facilities issues, and concerns. Manages the online faculty directory in collaboration with the web team. Management of official documents for all full and part-time faculty, Visiting Scholars, Faculty Emeritus, and Adjunct faculty in accordance with Collective Agreement Mandates.
