We are offering a short term contract employment opportunity for a Sr. Executive Assistant. As a Sr. Executive Assistant, you will be the main point of contact between our leadership and the Board of Directors, facilitating communication, supporting governance activities, and ensuring the smooth operation of board meetings and related initiatives.
Responsibilities :
- Serve as the key liaison between board members and executive leadership, facilitating clear and timely communication
- Schedule and coordinate board and committee meetings, ensuring proper logistics
- Prepare and distribute agendas, meeting materials, and board packages in collaboration with executive leadership
- Maintain official records of board meetings, resolutions, and governance documents
- Assist in the development and implementation of board policies, bylaws, and governance best practices
- Manage board member onboarding, training, and ongoing education
- Track board terms, elections, and committee assignments
- Work closely with leadership to ensure board alignment with the organization’s mission and goals
- Provide logistical support for board events, fundraisers, and recognition programs
- Assist with special projects, strategic planning initiatives, and board retreats.
- Proven experience in Calendar Management, ensuring efficient scheduling and organization of executive's time.
- Excellent Communication skills, both written and verbal, for effective interaction with all levels of organization.
- Experience in organizing Conference Calls and managing Correspondence for a busy executive.
- Demonstrated ability in preparing Board Presentations, with keen attention to detail and accuracy.
- Strong background in Event Planning, coordinating both internal and external events.
- Experience in preparing Annual Reports and managing logistics for Annual Meetings.
- Ability to Coordinate Meetings, including scheduling, preparing materials, and ensuring all participants are informed.
- Knowledge of Governance principles and experience in Access Governance, ensuring appropriate access controls are in place.
- Proficiency in Microsoft Word, Excel (especially Excel Formulas), and Microsoft PowerPoint, for creation of reports and presentations.
- Ability to work independently, prioritize tasks, and manage multiple deadlines in a fast-paced environment.
- Demonstrated problem-solving skills, with a proactive approach to overcoming challenges.
- Excellent organizational skills, with an ability to maintain high levels of accuracy and attention to detail.
- Strong interpersonal skills, with a proven ability to build and maintain detail oriented relationships.
