At Pender & Howe, we are committed to delivering exceptional client service through precision, professionalism, and strong relationships. Our team operates in a high-performance environment where collaboration, discretion, and attention to detail are fundamental to our success. Why this role matters: This Executive Assistant will operate at the intersection of internal operations and external client engagement - serving as a strategic partner to senior leaders and consultants while coordinating seamlessly with external executives and client organizations. This is a highly visible role that ensures polished communication, exceptional organization, and professionalism at every touchpoint. What you’ll do: ✅Manage complex calendars for senior consultants, prioritizing competing demands with sound judgment ✅Coordinate internal meetings, consultant workflows, and proactively resolve scheduling conflicts ✅Schedule interviews and meetings with external executives on behalf of clients ✅Serve as a professional liaison to senior-level stakeholders, ensuring discretion and clarity in all communications ✅Coordinate virtual and in-person meetings, including travel, venue arrangements, and detailed logistics ✅Support contracts and strategic documentation, ensuring formatting accuracy, version control, and timely distribution What we’re looking for: ☑️5+ years of executive support experience in a fast-paced, client-facing environment ☑️Advanced calendar management and expert-level scheduling capabilities ☑️Experience working with senior executives and C-suite stakeholders ☑️Exceptional written and verbal communication skills (ideally bilingual in English and French) ☑️Strong discretion and sound judgment when handling confidential information ☑️High attention to detail, organizational excellence, and proficiency in Microsoft Office and virtual meeting platforms If you are a proactive, highly organized administrative professional who thrives in a high-performance environment and takes pride in precision and professionalism, we would welcome a confidential conversation.
