The Maintenance Planner / Scheduler is responsible for the effective planning, scheduling, and coordination of all maintenance activities across millwright and electrician teams within a dynamic manufacturing environment. The role ensures maximum equipment reliability, uptime, and workforce efficiency by integrating detailed job planning, contractor coordination, and CMMS administration. This position also plays a vital part in continuous improvement initiatives, supporting regulatory compliance and optimizing preventive maintenance (PM) programs.

Responsibilities

When your actions lead to success :

Maintenance Planning & Scheduling

  • Develop, communicate, and manage detailed daily and weekly schedules for preventive, predictive, and corrective maintenance.
  • Prepare detailed job plans including required labor, tools, parts, and equipment.
  • Optimize use of time, budget, and materials in maintenance schedules.
  • Coordinate with production, engineering, and supervisory staff to align maintenance with plant operations.
  • Plan and schedule shutdowns for both reactive and preventive maintenance.
  • Participate in and lead weekly planning / scheduling meetings.
  • Track and report on the execution of PMs and overall maintenance schedule compliance.

Work Order & CMMS Administration

  • Own and administer the CMMS (e.g., Maintimizer); generate, assign, track, and close work orders.
  • Maintain accurate equipment histories, records, and documentation (manuals, drawings, SOPs).
  • Analyze maintenance trends and adjust plans to improve reliability and reduce unplanned downtime.
  • Ensure data accuracy and completeness for effective KPI reporting.
  • Inventory & Procurement Coordination

  • Collaborate with inventory and procurement teams to ensure availability of materials, tools, and parts.
  • Process requisitions and support procurement for stocked and non-stocked items.
  • Help establish and maintain standard costs for estimating and budgeting planned work.
  • Contractor Management

  • Coordinate contractor onboarding, training documentation, and scheduling.
  • Align external contractor work with internal maintenance schedules and safety protocols.
  • Performance Monitoring & Continuous Improvement

  • Monitor metrics such as uptime, cost effectiveness, and schedule compliance.
  • Identify opportunities for process and reliability improvements through analysis of completed work.
  • Support and contribute to site-wide continuous improvement and lean maintenance initiatives.
  • Safety & Compliance

  • Ensure integration of safety procedures and regulatory standards into maintenance work.
  • Support internal and external audits and maintain compliance-related records.
  • General Support

  • Assist maintenance team with day-to-day tasks and problem-solving.
  • Promote a collaborative and proactive maintenance culture across departments.
  • Qualifications

    Education & Experience

  • High school diploma or equivalent required.
  • Technical diploma, engineering degree, or certified trade is preferred.
  • Minimum of 3–5 years experience in maintenance planning / scheduling, preferably in a manufacturing or industrial setting.
  • Skills & Knowledge

  • Proficiency with CMMS systems (Maintimizer) and data management.
  • Solid understanding of mechanical and electrical systems and maintenance best practices.
  • Strong organizational, analytical, and time management skills.
  • Excellent communication and interpersonal skills; capable of collaborating cross-functionally.
  • Familiarity with equipment calibration, safety inspections, and maintenance documentation.
  • High capacity for learning new systems and adapting to change.
  • Proficiency in Microsoft Office Suite.
