Carmichael Engineering offers a comprehensive range of mechanical and HVAC services tailored to meet the unique needs of our clients.

Location: 3528 Coons Road, Elizabethtown-Kitley, ON K6T 1A7

  • Please note this is an on-site role.
  • Monday to Friday 8:00am-5:00pm
  • Salary range: $65,000 - $72,000

Responsibilities:

Service Operations & Work Order Management

  • Monitor and follow up on open work orders to ensure timely completion, closure, and readiness for billing.
  • Maintain accurate and organized service records, ensuring all documentation is correctly entered into internal systems.
  • Support company service goals by meeting performance targets related to work order completion and billing timelines.
  • Oversee daily service operations, including outstanding work orders and preventative maintenance schedules, to anticipate and resolve delays.
  • Coordinate with service technicians and the Service Manager to allocate resources efficiently and maintain workflow continuity.

Dispatching & Technician Support

  • Dispatch service technicians with complete and accurate job details.
  • Provide ongoing updates and support to technicians throughout the service process.
  • Process and verify payroll hours for service technicians, ensuring accuracy and timely submission.

Customer Service & Communication

  • Respond promptly and professionally to customer inquiries, addressing concerns and resolving service needs.
  • Enter customer data and service call information into internal software and generate work orders as required.

Vendor Coordination & Procurement

  • Collaborate with internal departments and external suppliers to support timely service delivery.
  • Issue purchase orders when necessary and ensure smooth coordination with vendors.
  • Manage office inventory by monitoring supply levels, placing orders, and coordinating vendor interactions.

Administrative & Office Management

  • Perform general office administrative duties, including data entry, filing, document management, and correspondence.
  • Maintain organized workspaces and support the upkeep of office equipment and supplies.
  • Assist with office operations such as scheduling, reporting, and workflow coordination.
  • Participate in cross-training or perform other duties as assigned to support departmental and organizational needs.

Required skills and experience:

  • A minimum of 2-3 years of experience in a similar role, preferably in a service company with mobile technicians.
  • A college diploma preferably in a discipline related to business management, administration, or operations management.
  • Have a "technical mind". (Knowledge of HVAC systems is an asset)
  • Excellent oral and written communication skills in English
  • Work with computer tools.
  • Enjoy working independently and demonstrate resourcefulness.
