We’re looking for a Health & Safety Administrator to provide reliable, detail-focused administrative support to our Health & Safety team. This role is not an advisory position – it is a coordination and administration role focused on keeping training records, documentation, and systems accurate, organized, and up to date. It’s a great fit for someone who enjoys structure, process, and supporting others behind the scenes.

What You’ll Do

  • Maintain, update, and distribute Health & Safety manuals, Safe Work Practices, Hazard Assessments, and Work Procedures, ensuring accuracy, version control, and compliance.
  • Track and manage training records, organize new hire and recertification courses, facilitate WHMIS and H&S orientations, and maintain contractor, client, and visitor compliance.
  • Administer H&S systems (e.g., Intelex), including data entry, troubleshooting, reporting, and system improvements.
  • Support development, implementation, and continuous improvement of H&S programs, policies, and initiatives.
  • Prepare and distribute reports, dashboards, and compliance metrics for leadership and audits.
  • Coordinate meetings, prepare agendas, record minutes, track action items, and provide administrative support to the H&S team.
  • Conduct research and gather data to support safety initiatives, audits, and program updates.
  • Maintain SharePoint and other digital repositories with current H&S information, ensuring easy access for all stakeholders.
  • Handle confidential information professionally while ensuring compliance with organizational and regulatory requirements.

  • 2–3 years of administrative experience; experience supporting H&S programs preferred.
  • Strong computer skills, including Microsoft Office and SharePoint . Experience with H&S software, LMS, or data systems (Intelex preferred).
  • Post-secondary education in Business Administration or related field preferred.
  • Completion of, or enrollment in, an Occupational Health & Safety program (MSO, NCSO, or equivalent) is an asset.
  • Highly organized with exceptional attention to detail.
  • Strong verbal and written communication skills.
  • Adaptable, coachable, and collaborative team member.
  • Skilled in proofreading, document formatting, and system administration.
  • Able to manage multiple deadlines, audits, and compliance tracking.
  • Previous exposure to Health & Safety, Alberta OHS legislation, WCB, or COR / PIR is an asset
  • Ability to organize digital records, track deadlines, and produce accurate reports
  • Must have a valid Alberta drivers’ license and clean Driver’s Abstract.
  • Must pass pre-employment Drug & Alcohol Testing.

  • Strong communication skills for delivering orientations, preparing meeting materials, and working with employees across departments
  • High attention to detail in preparing, proofreading, and updating H&S program documents
  • Strong organizational abilities for managing audits, documentation cycles, and training records
  • Experience supporting H&S management systems (e.g., Intelex) including data entry, accuracy checks, and system improvements
