Job description
Are you a customer-service superstar with a passion for coffee culture and hospitality? Our client, a trendy, fast-paced, and dog-friendly marketing agency, is seeking an Office Experience Coordinator with a heavy focus on elevating their in-office Coffee Bar & Café experience. This is an exciting, 5-day onsite temporary contract based in Toronto, operating from 8:30 am to 5:00 pm.

In this high-visibility role, you will work hand-in-hand with the agency's Café Coordinator to ensure the Coffee Bar serves as a warm, welcoming, and premium hub for 50–100 daily employees, executive leadership, and major clients. You will actively craft and serve hot and cold specialty beverages—including espresso drinks, teas, and custom lattes—while managing café inventory, tracking orders, and maintaining a sparkling clean environment. The ideal candidate brings a background in barista work, specialty coffee shops, or the food service industry, alongside an inclusive communication style and a proactive approach to supporting an energetic corporate community. If you are eager to blend your hospitality skills with corporate office coordination in a creative agency setting, we want to hear from you!

Advantages
-Creative & Trendy Environment: Work in a dynamic, friendly, and dog-friendly marketing agency environment.
-Barista & Hospitality Focus: Spend a significant portion of your day managing an upscale in-office coffee bar and serving specialty espresso drinks and lattes.
-Consistent Full-Time Hours: Enjoy a structured 7.5-hour workday (36.25 hours per week) from 8:30 am to 5:00 pm with a predictable daily schedule.
-Competitive Contract Pay: Benefit from a solid hourly market rate of $20.62/hour.
-Inclusive & Supportive Team: Benefit from a collaborative workspace that prioritizes inclusive language, steady training, and strong cross-functional relationships.

Responsibilities
Coffee Bar & Café Operations
-Beverage Crafting: Partner with the Café Coordinator to expertly prepare and serve high-quality hot and cold beverages, including espresso, teas, and specialty lattes.
-Café Coverage: Act as the primary operator of the Coffee Bar on a regular basis whenever the lead Café Coordinator is away or unavailable and work together when available.
-Inventory & Ordering: Track, manage, and place orders for all Coffee Bar supplies, pantry snacks, beverage fridges, and specialized LCBO/wine orders.
-Station Replenishment: Routinely restock milk, cream, sugar, cups, lids, and stir sticks, and keep the fruit bowl and snack stations full.
-Sanitization & Upkeep: Clean and maintain all specialized coffee bar equipment, sanitize surfaces, unload/reload dishwashers, and manage fridge/pantry organization.

Meeting, Catering & Event Support
-Meeting Prep: Prepare boardrooms with required catering, packaged snacks (yogurt, granola, chips), and beverages prior to high-level client meetings.
-Event Coordination: Assist with external catering orders and handle the physical setup and cleanup for internal and external corporate events, including charitable initiatives.

General Office Experience Coordination
-Facilities & Clutter Management: Proactively monitor common areas, boardrooms, and kitchens to ensure the environment always looks professional, clean, tidy, and welcoming.
-Front Desk & Admin Support: Provide reception relief when needed, coordinate courier logistics, handle stationery inventory, and assist with employee gift/swag orders.
-Operational Tracking: Oversee the parking tracking sheet, manage employee FOB and key tracking databases, and maintain digital facilities files.
-Onboarding Logistics: Coordinate physical desk setups for new hires with the HR team and assist with employee equipment pickups, recycling drop-offs, or office moves.

Qualifications
-Experience: 2+ years of relatable experience, with a strong preference for candidates who have worked in specialty coffee shops, cafés, or the food service/hospitality industry.
-Coffee & Catering Aptitude: Previous barista experience or a strong willingness and enthusiasm to learn advanced coffee-serving techniques and corporate catering coordination.
-Technical Skills: Comfortable using basic workplace technology, including Slack, standard email, Microsoft Outlook, and Google Docs.
-Interpersonal & Communication Skills: Superior verbal and written communication skills with the ability to build positive relationships across a diverse, fast-paced workforce.
-Inclusive Mindset: Patient, collaborative, and adaptable, with a natural ability to use inclusive language and foster a supportive team environment.
-Organization & Detail: Exceptional time-management skills and attention to detail, with a proven ability to prioritize competing administrative tasks under pressure.
-Physical Requirements: Must be comfortable working directly around food and beverages, and physically able to lift up to 40 pounds for stocking café shelving and handling inventory shipments.
-Pre-Employment Screening: Successful completion of 2 professional reference checks
