Position Description
The Head Caretaker is responsible for the routine maintenance and operation of the school’s physical facilities and assists the school administration with the daily physical operation of the school.
Working Relationship
The Head Caretaker reports to the Operations Supervisor and accepts direction from the Principal. The Head Caretaker is responsible for the cleaning staff assigned to the school.
Qualifications
Level of Education : Minimum Grade 12 or equivalent; graduation from an approved building operations and power engineering course is desirable; valid 5th Class Power Engineers’ Certificate from Manitoba.
Experience : Two years of successful building operations experience, including using web‑based work ordering, e‑mail, and computer software for productivity.
Skills And Abilities : Provide leadership to caretaking staff; strong reading, writing, and verbal skills in English; work day shifts and respond to emergency calls evenings and weekends.
Physical Requirements : Good general fitness; ability to lift and carry 20 kg (45 lbs) and move it 20 m (60 ft).
Position Duties and Responsibilities
Communicates with Principal and Division Administration
Maintains routine communication with the Principal and Operations Supervisor regarding reporting on the progress of maintenance work orders, cleaning of the school, and planning for the overall operation of the building.
Reports thefts, break‑ins, vandalism or abuse of the school and property to the Principal and Director of Facilities.
Communicates the concerns of the caretaking staff to the Principal and / or Operations Supervisor.
Maintains a Safe and Comfortable Facility
Inspects the facility to ensure overall care of the building, safety and comfort for all occupants.
Checks HVAC systems for normal and safe operation; makes adjustments as necessary and reports malfunctions to the Utilities Supervisor.
Inspects building and grounds, including play structures, to identify hazardous conditions and takes corrective action.
Ensures entrances and emergency exit routes are kept clean and clear of debris and / or snow.
Regularly checks fire extinguishers, hoses, emergency lighting and alarms, reporting deficiencies immediately to the Utilities Supervisor.
Assists during emergency evacuations and other emergency situations.
Ensures security procedures are followed at shift close, including checking all doors, windows, security lighting and activating alarm systems.
Maintains Cleanliness of the Facility
Performs cleaning activities as required to ensure all areas of the facility are properly cleaned and functional during the school day.
Cleans all outside glass with special attention to highly visible main entrances.
Sweeps and damp‑mops hallways, entrances and washrooms as needed.
Refills washroom dispensers as required.
Disposes of lunch garbage daily into external containers.
Cleans mechanical rooms and maintains them in accordance with government regulations.
Plans and directs seasonal cleaning projects in consultation with the Operations Supervisor and other Facilities & Operations personnel.
Directs and assists with all cleaning duties during school breaks (Summer, Christmas, and Spring), ensuring overall cleanliness upon completion of assignments.
Maintains Grounds in a Clean and Safe Condition
Sweeps sidewalks, rakes leaves, picks up paper and removes debris; cuts grass, trims trees / shrubs, and waters lawns and flowerbeds as required.
Ensures walkways, fencing, and parking lots are maintained in a neat, tidy, and safe condition.
Maintains Equipment and Supplies
Ensures all custodial equipment is maintained regularly, including vacuum cleaners, auto scrubbers, floor machines, snow blowers, etc.; performs repairs within limits and reports needed repairs to the Operations Supervisor.
Requisitions custodial supplies, tools, equipment, and maintains an adequate inventory at all times.
Ensures equipment and supplies are available for the caretaking staff.
Provides personal protective equipment and related information for staff (gloves, eye goggles, non‑slip overshoes, WHMIS info and SDS sheets).
Performs General Maintenance and Repairs
Responsible for routine maintenance of heating, ventilation, air conditioning, electrical, domestic water, and sewer systems.
Checks and services all HVAC units on a routine basis (e.g., change belts, filters, grease bearings, adjust thermostats, time clocks).
Performs general maintenance of walls, floors, ceilings, doors, lockers, and hardware as needed.
Maintains snow blowers, lawnmowers, etc., by servicing as required.
Repairs and / or assembles furniture, coat racks, pencil sharpeners, etc.; installs furniture within limits of ability.
Submits maintenance requests using the online work order system, e‑mail, and / or telephone communication to the Maintenance Supervisor.
Maintains a log book and record‑keeping system on work done; establishes a preventive maintenance schedule and list of daily, weekly, monthly, and seasonal tasks.
Assists in Providing Direction and Orientation to Permanent and Casual Staff
Mentors Caretaker 1 position in learning duties and responsibilities of a Head Caretaker; provides direction, encouragement, and evaluation during the mentoring term.
Assists in providing direction and orientation to new and casual staff.
Ensures keys are available to replacement staff and verifies their return.
Regularly communicates with evening staff to ensure effective and efficient custodial activities.
Performs Related Duties
Maintains a positive working relationship with educational staff, students, and fellow staff members.
Attends to the Canadian flag according to the Principal.
Provides assistance and direction to groups using space within the facility.
Sets up furniture and equipment for conferences, lectures, special events, and other user groups as specified by permits or the Principal.
Monitors permit activities in assigned area; ensures equipment is returned and reports damage or problems to the Permit Clerk.
Receives and moves shipments, equipment, furniture, and supplies as required.
Remains on the school premises during school hours unless approved by the Operations Supervisor and Principal (except lunch break).
Removes graffiti promptly.
Assists the school administration in preparing capital budget requests.
Visually checks the facility inside and out to ensure safety and security.
Supervises the caretaking staff assigned to the school.
Provides training support to staff on cleaning procedures, building security, and co‑worker relations.
Completes reports requested by the Principal or Operations Supervisor.
Performance Appraisal And Evaluation
The formal performance appraisal and general evaluation of routine work is conducted by the Operations Supervisor in consultation with the school Principal.
Additional Requirements
Must learn and use the Globally Harmonized System (HMIS) Hazardous Material Information System and Safety Data Sheets (SDS).
Other related duties as assigned by the Principal and / or Operations Supervisor.
