Job Title : Event & Meeting Coordinator

Location : Hybrid (Toronto, ON)

We have had the honor of working with numerous Canadian, US, and European pharmaceutical and biotech clients, including Apellis Pharmaceuticals, EMD Serono, Sage Therapeutics, Spark Therapeutics, Alnylam Pharmaceuticals, Arena Pharmaceuticals, Neurogene, Chiesi, Intercept, bluebird bio, Ovid, Jazz Pharma, Flexion Therapeutics, Sobi, Vertex Pharmaceuticals, and many others.

We are currently looking for an Event & Meeting Coordinator to join our team. This is an entry-level, full-time role supporting client project delivery.

Key Responsibilities :

  • Event Logistics : Collaborate with project teams to ensure the delivery of event logistics.
  • Compliance Documentation : Track and deliver documentation for compliance reporting.
  • Event Materials : Develop invitations, agendas, and PowerPoint presentations.
  • Stakeholder Communication : Interact across project teams, with healthcare professionals, and vendor contacts.
  • Customer Service & Support : Provide consistent customer service and logistics support, ensuring timely communication of meeting information to and from clients, project team, and participants.
  • Coordination & Negotiation : Initiate and maintain contact with key individuals for clarification, coordination, and negotiation of critical issues.
  • Meeting Preparation : Execute and coordinate contracts, payments, meeting invitations, reminder emails, and correspondence as required.
  • Event Support : Provide support for virtual meetings and in-person meetings.
  • Post-Project Reporting : Deliver post-project expense reporting and reconciliation.
  • Registration Management : Create, customize, and maintain virtual registration processes.

Qualifications :

  • Education : Bachelor’s degree in Event Management, Hospitality Management, Marketing, Business Administration, or a related field.
  • Meeting Coordination Experience : Knowledge and experience with meeting processes, principles, and best practices.
  • Customer Service Excellence : Exceptional customer service skills.
  • Pharmaceutical Event Experience : Experience with the preparation and execution of advisory boards for pharmaceutical clients is an asset.
  • Immediate Availability : Availability to start working full-time within 3 weeks of receiving an offer.
  • Writing and Communication Skills : Proven writing / communication skills with high attention to detail—both in reports and in tailored PowerPoint content.
  • Organizational Skills : Exemplary organizational and time management skills.
  • Prioritization Abilities : Strong capability in juggling priorities to meet deadlines while consistently producing high-quality outcomes.
  • Technical Skills : Proficiency in MS Office, with expertise in PowerPoint.
  • Eligibility & Travel : Ability to work in Canada legally for any employer, a valid passport, and the ability to travel to Europe and the USA.
