Marshall Canada is seeking a Program Coordinator to join our team in Ottawa, ON. Reporting to the Program Manager, Planning & Control, this role is responsible to plan and coordinate high‑profile defense programs, fostering collaboration among stakeholders, ensuring strict adherence to schedules, and maintaining meticulous documentation and controls in a fast‑paced environment.

Your responsibilities in the role :

• Partner with program managers to develop, maintain, and update detailed project schedules and calendars using Microsoft Office 365 tools (e.g., Excel, Project) and other project management software.
• Track project milestones, deliverables, dependencies, and risks, proactively identifying and mitigating potential delays.
• Organize and facilitate program meetings (virtual and onsite), ensuring clear and effective communication and stakeholder engagement.
• Compile, analyze, and present project metrics using data visualization tools (e.g., Power BI, Excel) to drive informed decision‑making.
• Prepare detailed project status reports, including schedule performance, resource utilization, and key performance indicators.
• Maintain real‑time program dashboards, ensuring accurate data entry and updates in project management tools.
• Coordinate and document change requests, supporting the implementation of a robust change management process.
• Ensure all project documentation is organized, compliant with defense standards, and audit‑ready, conducting periodic audits to verify adherence and recommend corrective actions.
• Facilitate clear and concise communication between internal and external stakeholders, providing regular updates on project status, risks, and resolutions.
• Collaborate with IT, Data Analytics, and Operations teams to align project solutions with organizational objectives.
• Leverage Microsoft Office 365 (e.g., Teams, SharePoint, Power Automate) and other technologies to streamline workflows, automate processes, and enhance team productivity.
• Identify and implement innovative tools and technologies to improve project efficiency and decision‑making.
• Other duties as assigned by the Program Manager, Planning & Control
