As the organization evolves, they are seeking a highly organized and proactive Executive Assistant to support the President and executive team.

This is a key opportunity for a dynamic administrative professional who thrives in a fast-paced, high-responsibility environment. The Executive Assistant will serve as the primary support to the President, acting as a liaison with internal and external stakeholders, and managing a wide range of executive-level administrative duties. The ideal candidate will demonstrate sound judgment, discretion, and a collaborative approach.

What you’ll be doing:

  • Provide direct administrative support to the President and executive team
  • Manage executive calendars, travel arrangements, meeting coordination, and logistics
  • Prepare and review documents, reports, correspondence, and presentations for executive use
  • Oversee and maintain the corporate strategic plan and travel policy
  • Coordinate internal and external meetings, workshops, and events
  • Screen communications and prioritize correspondence for the President
  • Track and manage sponsorships, donation requests, escalated customer issues, and key follow-ups
  • Record meeting agendas, minutes, and action items with clarity and precision
  • Maintain digital and physical filing systems, including supplier agreements and contracts
  • Conduct background research and prepare executive briefing materials
  • Support with personal scheduling and planning for the President as needed

What we are looking for:

  • Post-secondary diploma in Business Administration or related field
  • 5–7 years of experience in an Executive Assistant or senior administrative role
  • Proven ability to manage complex calendars, high-priority communications, and confidential matters
  • Exceptional organizational and time management skills with a high attention to detail
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills
  • Professional, resourceful, and flexible with a proactive mindset
