The Organizational Setting
The Air Navigation Bureau (ANB) provides technical guidance to the Air Navigation Commission (ANC), the Council, and the Assembly. It maintains the Global Aviation Safety Plan (GASP) and Global Air Navigation Plan (GANP), produces safety and air navigation status reports, develops standards and recommended practices, and manages the Universal Safety Oversight Audit Programme (USOAP). The Safety Management Section, under the Office of the Deputy Director, Aviation Safety and Air Navigation (DD / ANS), supports ICAO initiatives, SARPs, and guidance related to safety management, and prioritizes implementation support initiatives.
The incumbent reports to the Chief, Safety Management (C / SM) and provides administrative support to the Section and, via the ANB administrative support pool, to other ANB sections.
Major Duties and Responsibilities
- Function 1 : Provide administrative and technical support for the planning and implementation of the work programme for the Safety Management Section and other ANB sections.
- Coordinate administrative tasks and support the Section.
- Maintain documentation related to the work programme.
- Assist in scheduling meetings and managing calendars.
- Facilitate communication and collaboration among team members.
- Liaise on briefings and analysis production.
- Draft letters, memoranda, reports and correspondence from instructions or drafts.
- Support the Section’s Chief and Technical Officers by tracking tasks and ensuring deadlines are met.
- Function 2 : Assist in quality management of working documents for the Safety Management Section and other ANB sections.
- Proofread documents for completeness, accuracy and grammar.
- Edit materials to improve readability and coherence.
- File and organize documentation.
- Function 3 : Provide administrative / logistical support to expert groups and study groups under the responsibility of the Safety Management Section and other ANB sections.
- Coordinate meetings for expert groups.
- Prepare and distribute documentation and materials for expert groups.
- Maintain a communication and documentation platform for expert groups.
- Process and track membership changes, including preparation of letters and translations.
- Function 4 : Provide administrative and logistical support for meetings, events and workshops.
- Coordinate logistics such as room bookings, badge preparation and registration.
- Help prepare materials and documentation.
- Collate reports and meeting notes.
- Perform other related duties as assigned.

Applicants must be Canadian citizens or Permanent Residents of Canada.
Position is a fixed-term appointment for an initial period of three years (first year probationary for an external candidate). Staff are international civil servants subject to the Secretary General and may be assigned to any ICAO activity or office. Conduct must meet the Standards of Conduct for the International Civil Service as defined by the ICAO Service Code.
Advantageous at the time of appointment : level net base salary, G‑4, CAD $46,734 per annum.
