Job Description
We are seeking a highly organized and service-oriented Receptionist / Administrative Assistant to support the daily operations of our office. This role is ideal for someone who takes pride in creating a welcoming and professional environment, enjoys supporting teams, and brings strong experience in office coordination and administrative support.
The successful candidate will be the first point of contact for incoming calls, visitors, and staff, ensuring a positive experience and smooth office operations.
Responsibilities
- Serve as the primary point of contact for visitors, clients, and incoming calls, ensuring a warm and professional reception experience.
- Maintain the overall appearance of the office, including reception, boardrooms, and common areas.
- Set up boardrooms for meetings, including meeting materials, technology checks, and layout arrangements.
- Coordinate catering and hospitality for internal and external meetings and special events.
- Manage incoming / outgoing mail and courier deliveries.
- Monitor and replenish office and kitchen supplies.
- Order and maintain office supplies, kitchen supplies, and inventory as needed.
- Support meeting scheduling, calendar coordination, and distribution of company-wide communications.
- Perform administrative tasks such as document formatting, filing, scanning, and data entry.
- Work closely with Finance & Administration on administrative tasks and office-related projects.
- Provide general support to staff, managers, and leadership as required.
