Position:

Administrative Assistant/Accounts Payable

Job Summary

We are seeking a full-time Administrative Assistant with experience in Accounts Payable to support the invoice processing and supplier payments in Sage, along with other general administrative responsibilities.

Job Responsibilities

Process supplier invoices in accounts payable, which includes the approval of invoices, accurate posting of invoices and ensuring timely payments.
Preparation of supplier batch payments.
Reconciliation of Vendor statements.
Maintain the accounts payable vendor data base in Sage.
Record freight, duty and brokerage charges on international shipments.
Maintain a filing system for financial information, records and documents to ensure easily available information.
Complete monthly credit card reconciliations for multiple accounts.
Manage driver Fuel Cards and reconciling usage to statements.
Answering incoming calls, Client Invoicing & Accounts Receivable coverage.
Additional duties as required.

Job Requirements:

Minimum 2+ years with office administration and accounts payables experience.

(Familiarity with Sage is an asset)

Proficient with Microsoft Office Word and Excel.
Strong communication and interpersonal skills.
Must possess a high level of reliability and be team oriented.
Organized with attention to detail.

Hours:

Full-time 35+ hours per week on site
Some additional hours may be required at Flower Holidays (i.e. Mothers Day, Valentines Day)

Compensation:

Dependent upon Experience
