You will help keep our members safe by providing essential administrative support to our executive team. CAA Club Group serves over 2.6 million members across Ontario and Manitoba, advocating on road safety, infrastructure, the environment, seniors’ mobility, and consumer protection.
What You Will Do
- Assist with scheduling appointments and managing calendars for the Chief Technology & Innovation Officer
- Liaise with Executive Administrators to handle requests from senior leaders
- Act as the primary point of contact and liaison between executives, internal departments, and external partners; monitor the LOB email inbox and respond to inquiries from internal and external partners
- Plan meetings and take detailed minutes
- Greet external partners upon their arrival for meetings and offer general assistance
- Oversee office operations, including office supplies inventory, equipment maintenance, and meeting room management, and ensure that any damage or issues are promptly reported to the Facilities Department
- Make an update presentations when provided direction
- Assist with coordinating and planning of external and internal business events
- Create and regularly maintain the department’s organizational chart
- Assist with administrative tasks surrounding onboarding of new Associates
- Prepare and distribute correspondence (email, memos, letters and forms)
- Reconcile and submit expense reports
- Handle purchase orders and invoices, and support the Billing and Invoice Analyst with fundamental bookkeeping or budget monitoring for senior management
- Maintain highly confidential files, records, and databases with the utmost discretion and integrity
- Assist with special projects and initiatives, ensuring timely completion as directed
- Other administrative duties as assigned
Who You Are
Post secondary degree / diplomaMinimum 5 years’ experience of providing executive administrative servicesExcellent written and verbal communication skillsStrong interpersonal skills and ability to work in a team environmentStrong analytical and problem‑solving skillsProficiency in Microsoft Office (Word, Excel, PowerPoint), Teams, and other collaboration toolsMust have excellent time‑management skills and ability to prioritizeEvent organization experience is a strong assetExperience with SAP and SAP Concur is a strong assetPlease note, salary range is not inclusive of total compensation. The expected salary range for this position will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
